upload trade show leads - there MUST be a better way
There must be a better way, but I have yet to find it. So scenario is trade show contacts that are delivered via Excel file on USB. We do at show filtering, so no leads in file, all are contacts for follow up action. Now, I have all the info but need to get to Zoho. The way I do this is as follows:
1) Mass export of Zoho Accounts and Contacts
2) Copy Zoho Accounts into Excel file containing trade show contacts.
3) Sort both Zoho Accounts alphabetically.
4) Sort trade show contacts by Account alphabetically. Delete all duplicate accounts - i.e. we take contact info from Bob Brown and Dave Smith from ACME Inc, now ACME shows up twice.
5) Put Zoho Accounts and trade show accounts in two side-by-side columns.
4) Visually scan down column to identify duplicates - I usually insert blank cells and shift everything down one cell for the trade show contacts. This way, when you get to the bottom of the Zoho Accounts column, you know you are done. Note that you can't use lookup or other Excel functions because you never know what the person at the trade show entered for company name (i.e. - in Zoho, account name is ACME Inc, but contact could have entered ACME, A.C.M.E., ACME Incorporated, ACME Machine, etc.).
5) Go through accounts again and make sure spelling is EXACTLY the same for Accounts that already exist in Zoho. I usually do this in a third column, because I need to go back and update Account spelling for all trade show contacts so upload doesn't create new accounts.
6) Use VLOOKUP function or other Excel function to cross reference trade show contacts to Zoho Accounts and correct all trade show account names to Zoho Account Names. This is a multi-step process and easy to have mistakes / errors.
7) Upload new accounts.
8) Upload new contacts.
9) Since we have 2-4 booths at each show (we display with several distributors) and they feed us contacts at differing paces, usually must REPEAT all the above at least 2-3 times.
10) Vow to find an alternative to Zoho, but post here instead HOPING there is an easier way.
All in all, I find Zoho to be just barely acceptable, but with our trade show schedule, I MUST find a better way to do this or we will need to switch CRM solutions. Any help that can keep me a paying and loyal customer would be much appreciated.
