We're back with another round of updates in Zoho Billing! This month brings new capabilities designed to give you more flexibility and control over your billing operations. From associating price lists with business locations, and including annexures in your PDFs, to restricting overage for drawdown addons and regenerating invoices for usage-based subscriptions.
We've also added support for three new languages, enhanced subscription reporting, and introduced several improvements to imports, hosted payment pages, and more.
Associate Price Lists with Locations
You can now associate sales price lists directly to your business locations, in addition to associating them with individual customers. While creating transactions, if the customer does not have a price list associated, the price list linked to the selected location will be applied automatically. This makes it easy to manage region-specific or location-specific pricing without having to adjust each transaction manually.
To configure this, go to Settings > Organization > Locations > choose a location and select from the Price List dropdown. This feature is available only for certain plans of Zoho Billing.
Include Annexures to PDFs
You can now include annexures to PDFs of different records. Once configured, the uploaded annexures are automatically added as additional pages at the end of the generated PDF. This helps you consolidate all relevant supporting documents, terms and conditions, compliance sheets, rate cards, and more into a single, shareable file.
To configure this, go to Settings > Customization > PDF Templates > select a template and go to Other Details tab, switch to Annexures to upload it, and save your preference.
Restrict Overage for Drawdown Addons (Early Access)
You can now configure an Overage Restriction for drawdown addons to prevent customers from consuming services once their prepaid balance is exhausted. This option is available both at the addon level and at the individual subscription level, giving you the flexibility to enforce strict consumption limits for some addons while allowing overage for others, all within the same subscription. This feature is available only in certain plans of Zoho Billing.
To enable this; go to the addon, select the Restrict Overage option.
Service Period Fields for Subscriptions and Recurring Invoices [Germany Edition]
Zoho Billing now automatically populates Service Start Date, Service End Date, and Transaction Posting Date on every invoice generated by a subscription. These fields now extend to invoices, renewals, mid-cycle changes, usage charges, addon purchases, and more. The service period dates are auto-derived from the subscription's billing term, ensuring every invoice meets ยง14 UStG requirements with zero additional input required.
Filter by Product and Plans in Subscriptions Summary Report
You can now filter subscriptions in the Summary Report by specific Products and Plans, making it easier to analyze data for targeted segments of your subscriptions.
Regenerate Invoices for Usage-Based Subscriptions (Early Access)
Zoho Billing now lets you to regenerate invoices for usage-based subscriptions using an API. When incorrect usage records are noted after an invoice has been generated, resolving the issue typically meant voiding the invoice which also discarded the recurring charges.
With this API, you can now regenerate the invoice for the current billing term, combining the corrected recurring charges with the updated usage record. This ensures your customers receive accurate, complete invoices without any billing data being lost.
Item Custom Fields for Usage Line Items (Early Access)
Item custom fields can now be applied to usage line items in invoices. When an invoice is generated for a subscription that includes usage addons, the item custom fields configured for the respective addon will automatically appear on the invoice. This gives you greater customization over usage billing documents and ensures that addon-specific details are carried through to the final invoice.
Track Record Participants in Transactions
Zoho Billing now tracks record participants, any user who creates, edits, approves, or comments on a record automatically becomes a Participant of that record. When you @mention users in comments or add recipients in the email Send To list, the system displays a clear split between Record Participants and other users, making it easier to notify the right people. This feature is enabled by default for new organizations and available in Early Access for existing organizations.
Bulk Update Reporting Tags for Items
You can now bulk-update Reporting Tags for items in Zoho Billing, allowing you to update reporting tags across multiple items at once. This is particularly useful when reorganizing your catalog in bulk; saving time and manual effort.
Update Plans & Addons During Import
You can now update existing Plans and Addons during imports using the new Overwrite option. When Overwrite is selected during import, the system matches records in your file against existing entries using the Plan Code, Plan ID, Addon Code, or Addon ID, and updates them accordingly. If no match is found, the row is processed as a new record. This makes large-scale catalog updates significantly faster and reduces the need for manual edits.
To enable this, go to Plans > More option > Import Plans > check the Overwrite plans option under Duplicate Handling.
Configure Redirection URL at Organization-Level
You can now set a common Redirection URL at the organization-level. Previously, redirection URLs had to be configured separately for each product and when customers purchase the plans from that product, they are redirected to that specific URL instead of the Thank You Page. Now, customers will be directed to the Redirection URL set at organization-level automatically if a redirection URL is not present at product level.
To configure this, go to Settings > Module Settings > Products and configure the Redirection URL. This feature is available only for certain plans of Zoho Billing.
Enable Sign-In and Sign-Up for Hosted Payment Pages
Your customers can now sign in to an existing portal account or create a new portal account directly during checkout. When your customers enter their email address, Zoho Billing checks if a portal account already exists and prompts them to sign in or sign up accordingly. Existing customers benefit from a faster checkout experience.This option is supported only on multi-page Hosted Payment Page templates
To configure this, go to Settings > Hosted Payment Pages > select a multi-page template and enable the Sign In and Sign Up option.
Support for Korean, Polish, and Greek
You can now access Zoho Billing in three additional languages; Korean, Polish, and Greek, this helps you use Zoho Billing comfortably in your preferred language.
To switch languages, go to Settings > Organization Settings > Profile and choose your preferred language from the Organization Language dropdown.
