What's the best way to set up an email follow up sequence in Zoho CRM?

Hi everyone,

My apologies for the long and detailed post, just wanted to provide some context.

I've been researching the best way to set up a sales email follow up sequence in Zoho CRM and would love to hear from the pros on how you would recommend doing this.

It looks like it can be done in different ways perhaps using autoresponders or workflows but after attempting the autoresponder route, that seemed clunky so I've went ahead and set it up using tags and workflows, but I'm wondering if what I did was a good approach or if there is a better solution?

Here's my scenario. I have a travel agency business and we receive booking inquiries from people about many different properties and trips we promote on our website.

The first step to process the inquiries needs to manual due to the need of personalization, I have to check availability and room options for dates, put together a quote, respond to any specific comments, etc, but after I send out that initial email the next 4 follow up emails I send over 15 days I use templates with some basic personalization tokens.

Here is the 4-touch follow up email sequence workflow I created which is activated when the tag "follow up sequence" is added to a Lead.

I just set it up yesterday, but I'm a bit weary of using it. One of my concerns with this approach is that the sequence doesn't take into account people who respond. So I will have to manually remove the "follow up sequence" tag to stop the sequence. We have a very international audience, so if someone responds while I'm asleep and the next email goes out before I am able to remove them from the sequence that obviously doesn't make me look good.

If anyone has recommendations on a better approach to setting up a 4-touch email sequence whether in Zoho CRM or otherwise, I'd love to know the best way to go about it. I know this can be done very easily using smart Email Sequences in Hubspot, but unfortunately Hubspot is way out of my price range at this stage.

Thanks so much in advance for your time and any feedback you might have! Very much appreciated.

Cheers,

Eric
