1. Domain Unification

Today, verifying domains and authenticating email records can be a repetitive and time-consuming process. For example, a Zoho One user had to verify the same domain over 10 times and email authentication keys like SPF & DKIM must also be manually added to DNS records over 20 + times for services.

To address this pain point, we're launching Domain Unification. With this feature, organization admins will only need to verify their domain once, after which verification will automatically sync across all supported Zoho apps.

Key improvements:
  • Single domain verification is automatically applied across all Zoho applications.
  • Email authentication streamlined to require just one SPF record and three DKIM keys.
  • Elimination of redundant manual domain input and verification.
  • Implementing One-click instantaneous verification for domains across all Zoho applications.
This allows the users to have a unified and seamless experience across the entire Zoho ecosystem.

2. Unified Integrations

Zoho One provides a unified platform comprising over 45 integrated applications, each catering to diverse business requirements. Currently, the integration between these individual Zoho applications is configured individually by users via each application's settings page. This manual process often results in integrations becoming dependent on specific user inputs. Consequently, when a user leaves the organization or their access is revoked, it can disrupt these established integrations, leading to operational inefficiencies and unnecessary administrative overhead in managing integration continuity.

With Unified Integrations, Zoho One introduces a centralized hub for managing all integrations—Zoho-to-Zoho, third-party, and custom integrations—greatly reducing dependency on individual users.

Highlights:
  • Centralized integration management dashboard.
  • User-independent, native integrations for uninterrupted business continuity.
Apps supported in Phase 1:
CRM, Desk, Projects, Cliq, Contracts, SalesIQ, Connect, Campaigns, Vault, Inventory, Subscriptions, Expense, Invoice, Books, Commerce, Sprints, TeamInbox.

3. Customizable Identity Providers (IdP)

Every organization has unique workflows and login preferences for its workforce. Recognizing this, Zoho One introduces customizable login configurations, allowing admins to define and manage multiple Identity Providers (IdPs) based on organizational structures and needs.

What you can do:
  • Configure group-based Single Sign-On (SSO) rather than mandatory SSO for all users.
  • Customize default login sequences (Zoho Password, password-less, OTP, social logins).
  • Exclude specific users or groups from SSO logins.
Supported login methods:
  • Zoho Authentication
  • Zoho Password
  • OTP-based Login
  • Social logins (Google, Facebook, etc.)
  • Third-party SSO protocols (SAML, JWT, OIDC)

This feature provides an additional layer of login customization and flexibility, enhancing overall security and user convenience.

4. Conditional Access Policies

Zoho One's new Conditional Access Policies enable organizations to further enhance their security posture through highly customizable login policies.

Key functions:
  • Add device and platform conditions to security policies.
  • Define granular actions: Deny, Allow, Allow with MFA.
  • Adaptive security that automatically responds based on preset conditions (Note: Initially limited to IP-based restrictions).
The goal is to offer a fully adaptive and customizable security environment aligned precisely with organizational needs.

5. Web Tab Integrations

Zoho One, as a unified platform, enables users to seamlessly add and manage additional applications, further enhancing its capabilities. However, while third-party applications are already supported, they currently open in new browser tabs, which can disrupt workflow continuity.
Introducing the Web Tab feature, Zoho One now allows third-party applications to be embedded directly within the Zoho One interface. Users can now access and manage native Zoho and third-party applications from one consolidated workspace.

Benefits:
  • Unified, distraction-free workflow.
  • Improved productivity and continuity across applications.

6. Flexible User Deletion Management

Managing employee exits can be cumbersome. Zoho One's User Deletion feature empowers admins to efficiently handle user off-boarding and data reassignment.

Capabilities for admins:
  • Permanently remove users from Zoho One.
  • Transfer Directory Store integration ownership.
  • Transfer ownership of Departments.
  • Remove a user Zoho One or close their Zoho account entirely if the domain email is hosted with Zoho One.
  • Transfer application ownership and data from the exiting user to another active user.
  • Remotely wipe data from assigned user devices.
  • Reassign direct reports seamlessly to another user.
This feature provides robust, flexible user off-boarding options based on employment status, improving security and administrative efficiency.

7. Unified Status Availability

Zoho One supports numerous business operations across sales, marketing, support, finance, and other departments. These functions often require quick, real-time updates for user availability statuses to ensure operational efficiency.

With the new Availability Status feature, Zoho One provides a centralized interface displaying all relevant applications, allowing users to easily manage their availability from one unified location. This eliminates the need to navigate between individual applications, ensuring swift and accurate updates, thereby improving overall productivity and collaboration across departments.
