Hey guys, I’m running into a puzzle deciding what the best application will be. I want to transition/convert from Google Workspace to one of the mail apps in Zoho One to handle my emails but I’m not sure what the best one will be in my case. I am already setting up my CRM, Books and a custom creator app to handle incoming orders.
Here’s my situation and I would appreciate advice on the best app to use. I am super confused!
Currently, we manage three main company emails and one personal email under the current owner's name. These are Google Workspace accounts, each serving a specific purpose:
info@domain.com - General customer service inquiries, quotes, freight estimates, catalog requests, etc.
orders@domain.com - All orders should be received here, along with order status updates.
art@domain.com - All artwork related to in-house orders, including proofing and approvals.
ownername@domain.com - Intended for personal use.
Some customers send emails to whichever address they find associated with our domain without regard, resulting in emails being directed to the wrong mailboxes. This happens seldomly but often enough that we've missed important emails, such as new orders or critical requests, because they were sent to the wrong inbox. The problem worsens when customers mistakenly send company-related order emails to the owner's personal inbox, where no one else has access. Despite efforts to inform customers to send emails to the correct inboxes, not everyone complies, perpetuating the issue.
I'd like to figure out how to better manage company-related emails while also maintaining a personal inbox for the people that usually respond to customer emails and better handle email communications, requests, and orders. I thought of a solution but not sure if there's a better alternative.
My idea is to eliminate two of the current Google Workspace accounts, info and art, and retain only the orders@domain.com inbox. Then, under this account, I would set up an alias as artwork@domain.com. Changing "art" to "artwork" would help prevent confusion, as some customers sometimes mistake "art" thinking it's a person's name.
Consolidating these two emails into an orders@domain.com and an alias, artwork@domain.com, to the orders email account I think would help with routing any incoming emails to any of those two inboxes to the same inbox, streamlining our email management process. This approach would also help conserve Google Workspace storage or space inside one of Zoho’s email apps when we transition, as currently this is an issue due to duplicate emails and files received in both orders and art inboxes. Google Workspace is smart enough to know that if an email address is an alias to the main account, then it doesn't duplicate the email, does Zoho? and which email app?
Additionally, I would prefer employees who require email communication with customers to have their own personal inboxes. However, I'm unsure how to implement this effectively without risking order-related emails, artwork, quote request, etc., ending up in personal inboxes.
