We are thinking of changing the CRM system( high-rise system) to make the ordering process more efficient since it is repetitive and time-consuming.
These are the ordering processes below.
Make a New Client Form-
The New Client Form is a simple excel document that holds all information needed for a new client. This completed document will end up being attached to the email they send in Step 2.
Sending the order via Email-
After completing the New Client Form, They attach it, as well as the order and send it to every employees ( 7 employees) bcc: Dropbox, as well as 2) in the “Subject” specify whether “reorder” or “new” followed by the business name and the date.
Creating a Deal-
Once the email has been sent, one must go into Highrise system and create a new deal. Under each account name you have the option of opening up the “deal” tab. Do so, and click on “Add a new deal”. Next fill out: Name the deal, Describe the deal, How much?, Category and then submit the new deal.
Copy/pasting the order from Email-
Once you click on the “Add Deal” button your deal will be created. The next step is going back to the “Sent Mail” folder in one’s email and copying the order that was just sent in Step 2. You are going to paste this into the “Add a note about this deal” box.
Assigning Tasks-
On the right side of the screen you will see an “Add a new task” button, click on it.
Task 1: When is it due? Set a task in exactly a week (7 days) at 500 pm. Who’s responsible. Choose a category. Operations: Wholesale Orders. Finally, check the box for everyone to see and submit the task.
Task 2: When is it due? Set a task in exactly 4 weeks (1 month) at 400 pm. Who’s responsible?. Choose a category. Accounting: Pay Commission. Finally, check the box for everyone to see and submit the task.
We are thinking of changing the system to make it more efficient. We expect the system that every time they create the deal or put the brief order information in the system, it automatically emails to every customer or make a new client form.
It would be nice if you could tell me whether it is possible for the ZOHO CRM system to realize these more efficient process?
