Creating Portal

The Portal allows you to organize reports & dashboards you have created into pages and publish them as a microsite for easy access to your users. You can create multiple pages in your portal. Each page will be associated with one workspage from which you can add reports & dashboards into the page. 

Enable Analytics Portal Trial

Zoho Analytics provides you with a 15-day trial for the Analytics Portal feature. You can enable the trial by following the below steps. 

  1. Click the  Organization Settings  icon on the top right. 



  2. The  Settings  page will open. Open the  Portal  tab.



  3. Click the  Create New Portal  button. A confirmation dialog to enable trial will open.


  4. Click  Enable Trial . A 15-day trial for Analytics Portal will be enabled for your account. 

Creating an Analytics Portal

This section explains how to create an analytics portal. 

  1. Click the  Organization Settings  icon on the top right. 



  2. The  Settings  page will open. Open the  Portal  tab. 


  3. Click the  Create New Portal  button. The  Create New Portal  dialog will open.



  4. In the  Portal Name  field, specify a name for your portal. You must choose a unique name for your portal across Zoho Analytics portals. Availability of the portal name will be indicated in the dialog. 
    The portal URL will be based on this name.  i.e., if you choose your portal name as Finepick, then the portal URL will be finepick.zohoanalyticsportal.com. 
  5. Select the  Add all Zoho Analytics users to this portal  checkbox to add all the users in your organization into this portal. 
    Note:  The added users will not be able to access any pages in the portal, until you grant permission for the portal. 
  6. Choose a template for the portal and click  Next.


  7. The Create Page dialog will open. Specify a name for the page in the Page Name field.


  8. In the  Select Workspace  drop-down, select the Zoho Analytics workspace you want to associate with this page.  You will be able to add any views (reports & dashboards) from this workspace into this page. 
  9. Click  Create . A portal will be created and the  Portal Builder  will open. You can design your portal from here. 

Portal Builder

The  Portal Builder  allows you to design & build the portal suiting your needs. You can organize the page in a single or double column layout. 



Adding Views in a Page

All the views present in the associated workspace will be listed on the left. You can simply drag and drop views into the portal designer.  You can add up to 10 reports and 1 dashboard in a page. 


Adding Elements

The  Elements   tab, on the left, allows you to add the following rich elements to the page by drag and dropping them.
  • Text
    • Heading 
    • Paragraph
  • Images
    • Image
    • Image with Text
    • Image with Heading and Text
  • Dividers
    • Divider
    •  Divider with Icon 
    • Divider with Text
  • Others
    •  Google Map 
    •  Video 
    •  Embed 

Organizing the Layout

You can organize the views/elements in a page into a single or a double column layout. 

To organlize the elements select the added view or element. A contextual menu will appear with the following options to for editing it:

  • Move  icon - Hold this icon to drag the view to the desired place in the page. 
  • Edit  icon - Click this to edit the height of the view/element in the page. 
  • Trash  icon - Click this to delete the view/element in the page. 
  • Expand/Contract  icon - Click this to expand the view/element to full layout or contract it.


Note : To create a page with a flexible layout (not just single or two column layout), you can create a dashboard with all the views & elements required in the desired layout and insert it in the page. 

Adding Pages

You can add multiple pages in your portal. Each Page will be associated with a specific   workspace. You will be able to add views for the corresponding workspace in the Page. You can add up to 30 pages in a portal. 

Follow the below steps to add a Page.

  1. Click the  Add Page  link.

  2. The  Create Page  dialog will open. Specify a unique name for the page in the Page Name field.
     
  3. In the  Select Workspace  drop down, select the workspace you want to associate with this page. 
  4. Click  Create . The page will be created. 

Builder Settings

The Portal Builder Settings allows you to customize the appearance of your portal. Click the  Settings  button on the top right to edit the portal appearance.



The  Settings  page will open with the following tabs. 

  • Pages  - This allows you to customize the Pages in the Portal.
  • Menu  - This allows you to customize the menu to navigate between the pages. 
  • Template  - This allows you to customize the theme of the portal.

Pages

The  Pages  tab allows you to customize the Pages in the Portal. You can add, delete or rename the page from here. 

Add Page
To add a page, click the Add Page button at the top.


Rename Page
To rename a page, click the  edit  icon that appears on mouse-over. The  Rename  Page dialog will open. Modify the name and click  Ok .



Delete Page

To delete a page, select the page and click the  Delete  button on the top, or click the  Trash  icon that appears on mouse-over.




Trash
 Click the  Trash  button  on the top right to open the  Trash  Page. This lists all the deleted pages. You can restore pages from here if needed. To restore a page, select the page and click the  Restore  button on top or click the restore icon that appears on mouse-over.



The Menu tab allows you to customize the menu to navigate between the pages. All the pages in the portal will be listed here. Hold and drag the pages to arrange them as required. You can arrange pages within a page with three-level hierarchy.

Template

The Template allows you to customize the theme of the portal. You can choose to apply one of the four themes available. 

  • Left pane Light theme
  • Left pane Dark theme
  • Top pane Light theme
  • Top pane Dark theme


Publish

Your users will be able to access the Portal, or see the latest modification only when it is published.

Once you have saved all the changes in your portal, verify the same using the Preview of the Portal. You will be able to view how the portal will be in web, mobile and tablet.



Click the Publish button on the top right to publish. The Portal will be published and all users will be able to access it. 




Note:

  • Portals can be published only when it is in an 'Enabled' state. 
  • Portals cannot be published with the Without login permission. All users need to login to access the portal. 
  • Any modification done to the portal after publishing will be only saved as a draft and will not be visible to the users until it is published again.
