The Project Details page lets you define the key information for your abstract project. This includes the project name, description, point of contact, and the timeline for submissions and reviews. These details help you manage the abstract process efficiently and ensure a structured review workflow.
Enabling or Disabling Abstract Submissions
You can control whether your event accepts new abstracts using the Abstract Submission toggle.
- Navigate to Abstract > Project Details from the Dock.
- Enable the Abstract Submission submission toggle to allow authors to submit abstracts via the event website.
- Disable the toggle to stop accepting new submissions.
When submissions are disabled:
- Authors can’t access the abstract submission form from the website.
- Existing submissions remain unaffected.
- Organizers can still add submissions manually from Abstract > Submissions > All Submissions.
Project Name and Description
The abstract project name and description help authors and reviewers understand the context of your event’s abstract call.
- Navigate to Abstract > Project Details from the Dock.
- Enter the Project Name.
- Specify a name that clearly identifies your abstract project.
- For example, “Medicon 2026 | Call for Abstracts.”

- (Optional) Add a Description.

The primary contact here is the designated team member responsible for overseeing communication related to the abstract project. This person acts as the main liaison for all queries, submissions, and review activities, ensuring that communication flows smoothly between authors, reviewers, and organizers.
You can assign a team member as the point of contact while setting up your project details.
- Navigate to Abstract > Project Details from the Dock.
- In the Primary Contact section, click Change Primary Contact. You will be redirected to the Communicate > Emails > Preferences > Primary Contact tab.
- Pick between the Portal's Primary Contact, Space's Primary Contact, or Custom Primary Contact. You can assign a module specific primary contact as well.
- Click Assign Primary Contact associated with Module-Specific Primary Contact.

- Click on Abstract in the Choose Module section.

- If your contact has a verified domain, select the contact and click Save.
- Or click Add New Contact to add a new primary contact.

Once added, the selected member’s name and email address will be displayed under Primary Contact. The newly selected member will now serve as the primary contact for the abstract project. All communication, notifications, and queries related to submissions and reviews will be addressed to them going forward.
- Only users with event-level access will appear in the team member list. If a member doesn’t appear, ensure they’ve been added to your event team.
- You can update the primary contact at any time to redirect communication responsibilities.
When assigning a Primary Contact:
- Choose someone actively involved in managing submissions or coordinating with reviewers.
- Ensure their email and profile details are up to date to avoid missed communications.
Abstract Important Dates
The Important Dates section allows you to define the key phases of your abstract workflow — from submission to review and decision-making. These timelines determine when authors can submit their abstracts, when reviewers can begin their evaluations, and when final decisions must be made.
If a phase is not yet finalized, you can mark its timeline as TBD (To Be Determined). This allows you to publish your event website while keeping future deadlines flexible.
Adding Abstract Important Dates
Important dates help establish clear timelines for submission and review, ensuring a structured process for both authors and reviewers.
- Navigate to Abstract > Project Details from the Dock.
- Click Set Important Dates on the right panel. The Important Dates side panel will appear.
- Configure the following timelines:
- Submission Dates: Set the start and end dates when authors can submit abstracts.
- Review Dates: Define the review window during which reviewers can evaluate submissions.
- Decision Deadline: Choose the final date by which you will approve or reject submissions.
- Click Save to confirm your selections.
Once saved, the configured timelines will appear on the right-hand side of the Project Details page.
Submission dates are mandatory to publish your abstract page on the event website. If these dates are not configured, you’ll be prompted to set them before publication.
Changing Abstract Important Dates
You can modify the important dates anytime before or during the submission and review period to accommodate schedule changes or extended deadlines.
- Navigate to Abstract > Project Details from the Dock.
- Click Change beside Important Dates.
- Update the start or end dates for submission, review, or decision deadlines as required.

- Click Save to apply your changes.
Once updated, all date changes will immediately reflect on the abstract website for authors and reviewers.
Next Step: Create Abstract Topics
Once your project details are configured, proceed to create abstract topics to define the tracks or themes under which authors can submit their abstracts.
