Planning a Hybrid Event

Target a larger audience by combining the benefits of physical and virtual events. Host a hybrid event and give your attendees the flexibility of attending the event at the venue or participating virtually without being present at the event location. Planning a hybrid event can be done in the same way you would a physical event or an online event.

After you set up your account with Zoho Backstage, and a portal for your events, you can continue to create your hybrid event. For hybrid events, you can add a physical location for the event and choose a webcast streaming service in the Event details tab in the Website Builder. Create your event website by adding details about your event, such as the event schedule, speaker list, and other related information.

Mode of attendance

Manage how attendees can participate in your event by allowing them to purchase tickets based on their mode of attendance. This mode of attending option can be set up for tickets when creating them in the Tickets tab.


 
  1. Go to Registrations > Ticket Class and create a new ticket class. 
  2. Select an option in the Mode of attending area in the Add ticket class panel.
  3. Save the ticket class after you have entered other details in this panel. Your ticket class will display on the Tickets tab.

Convert event type

Change your hybrid event into either a solely virtual event or an in-person event if there are any unforeseen circumstances or changes in plans.



  1. Click the Events tab on the top bar in your portal.
  2. Click the dropdown to the right of the on-site event you want to convert and select an option that fits your need.
    1. Change to onsite: Select the Convert into on-site event option. Pick a venue from the dropdown in the Location area and edit the preset address if needed.
    2. Change to online: Select the Convert into online event option. Information about the event venue will be removed and any custom sections you've added from the Venue tab will be deleted.
  3. Optional: Modify other details of the event like the summary and description.
  4. Click the  button in the top-right corner to update the changes in the event website.
 
Note:
  1. Only events that are in the Draft and Live states can be converted. You can't change an event's type once it starts or after it is completed.
  2. You can't convert an event with dates set in the past. To do so, first set the event to future date before converting it.
