Session Check-In

The Session Check-In feature in the Zoho Backstage Organizer app enables event organizers to manage attendee check-ins at specific sessions within their events. With tools for scanning, manual check-in, registration, and check-out, organizers can streamline entry processes, track attendee participation, and ensure a smooth experience for all attendees.

Checking In Attendees


To check in attendees for a specific session, navigate to the appropriate event and use the Session Check-In options to process attendees quickly. Follow the steps below to access and manage attendee check-ins.
  1. Open the Check-In tab.
  2. Select Session Check-In.
  3. Choose a session from the list or use the search and filter options to locate a session by event day or track.

For multi-day events, each day’s check-ins are recorded separately, allowing you to maintain clear records across multiple event days.

Once you’re on the session check-in page, you can choose from the following check-in methods.

1. By Scanning the QR Code


  1. Tap Scan QR Code.
  2. Scan the QR of the attendee with your device.
  3. Tap Check In to confirm.
Idea
For super fast check-in: Make sure Check-In Options is set to Scan and Check In.
  1. On iOS: Access Check-In Options through the chocolate menu at the top-right.
  2. On Android: Check-in options are available at the bottom of the screen.

2. By Manually Searching and Checking In


  1. Search for an attendee using the search bar.
  2. Select the attendee you want to check in.
  3. Tap Check In.

Registering and Checking In New Attendees


The Register and Check-In feature allows you to register attendees on the spot and instantly check them into a session—perfect for walk-ins or unregistered guests on event day.
  1. Open the Check-In tab.
  2. Select Session Check-In.
  3. Choose a session from the list or use the search and filter options to locate a session by event day or track.
  4. Tap Register and Check In.
  5. Choose the attendees you want to check in.
  6. Tap the Register and Check In New Attendee button at the bottom of the screen.
  7. If you have selected multiple attendees, tap Register and Check In [N] Attendees, where [N] represents the number of selected attendees.
Idea
This ensures no attendee misses out on attending sessions even if they register at the last minute.

Checking Out Attendees


The Check-Out feature helps organizers maintain accurate attendance records by tracking when attendees leave. This is especially useful for managing attendance in sessions where attendees may leave midway.
  1. Open the Check-In tab.
  2. Select Session Check-In.
  3. Choose a session from the list, or use the search and filter options to locate a session by event day or track.
Once you’re on the session check-in page, you can choose from the following check-out methods.

1. By Scanning the QR Code


  1. Tap Scan QR Code.
  2. Scan the badge of the attendee to check them out.
  3. Tap Check Out.
