Incentivize prospective attendees to buy tickets to your event by offering discounts and special offers. In Backstage, there are two types of promotional codes: discount codes and access codes.
A discount code offers a reduction in the price of a ticket. Include discount codes in your promotional strategy to boost ticket sales.
An access code reveals a hidden ticket class. These can be used to give your VIPs access to hidden or private ticket classes that aren't available to the public.
Add a code
Track how well your promotional codes are performing by adding them here. When you add a code, you'll get metrics such as the redemption count, how many tickets were purchased with discounts, and which orders used which codes.
- Go to Registrations > Setup > Promo Codes from the dock.
- Click the Add code button.
- Select Discount code or Access Code from the dropdown.
- Enter a unique name for your code.
- Enter the discount percentage to be applied over the ticket price.
- Select the ticket classes for which the code should be applied.
- Choose whether the code is available to all or to a specific guest list.
- Choose whether the code can be redeemed on the whole order or on individual tickets.
- Enter the number of times the promotional code can be redeemed.
- Pick the expiration date for the promotional code.
- Click the Save button.
- Use the Filter, Sort, Columns icons to change the view or order, or find specific promotional codes easily.
Note:
- Promo codes can only be applied to an order.
- Only one promo code can be applied per order.
- Ensure that you've published your event first to start setting up promo codes.
Add guest lists for the code
Make a promotional code exclusive to a few select members by creating a guest list for that code. Only people who are included in the list can use the code during checkout.
- Go to Registrations > Setup > Promo Codes from the dock.
- Click the Add code dropdown in the top-right corner
- Select Discount code or Access code from the dropdown.
- Click the Selected option in the Eligibility section.
- Click the Add guest button. The Add guest panel will display.
- Click the Add manually tab to add the email addresses of the guests eligible for the promo code.
- Enter the email addresses in the Guest Email textbox.
- Alternatively, select the Import guest list tab.
- Upload a spreadsheet that contains the email addresses of all the guests.
- Click the Next button. The View guests panel is displayed.
- Set the redemption limit for each guest in the Max redemption column.
- Click Save. The Add discount code panel will display.
- Click Save.
Note
- An email with the promo code details will be sent to all the email addresses mentioned in the guest list.
- You can add a maximum of 200 guests per code.
To view which guests used the code
- Go to Registrations > Setup > Promo Codes from the dock.
- Click
to the right of the code.
- Click View from the dropdown that appears. A panel with the promo code details will display.
- Click the View link to the right of a guest list. All the guests who are part of the list will be displayed.
- Optional: Click the Notify link to the right of a guest’s email address to send an email reminding them to use the code.
- Optional: Click the Remove link to remove a guest from the list.
Note: Only guests who haven’t yet used the code can be removed from the guest list.
Edit a code
Change any detail in the discount code or access code.
- Go to Registrations > Promo Codes form the dock.
- Click
to the right of the code.
- Click Edit from the dropdown that appears.
- Modify the required details.
- Click Save.
Note:
- The code name can't be changed.
- The discount percentage can't be edited if the code has been claimed.
- The number of redemptions can be changed, but must be equal to, or greater than the number of times it has already been claimed.
Pause a code
Temporarily deactivate a code by pausing it.
- Go to Registrations > Setup > Promo Codes from the dock.
- Click
to the right of the code.
- Click Pause from the dropdown that appears.
Note: Attendees will not be able to use a promotional code when it's paused.
Copy code link
The code link has the promotional code embedded in the website's URL. Share the link with attendees or prospects to automatically apply the code when they visit your site.
- Go to Registrations > Setup > Promo Codes from the dock.
- Click
to the right of the code.
- Click Copy code link from the dropdown that appears.
Note: You can only copy the code link if your event website is published.
Delete a code
Remove a promo code to prevent anyone from using it.
- Go to Registrations > Setup > Promo Codes from the dock.
- Click
to the right of the code.
- Click Delete from the dropdown that appears. The Delete code dialog box will appear.
- Click Delete.
Note: A promotional code cannot be deleted if it has already been used by someone.
Download an offline copy of your promotional codes by exporting it into a spreadsheet.
- Go to Registrations > Setup > Promo Codes from the dock.
- Click the Export button in the top-right corner. The Export promotional codes dialog box will display.
- Select the Protect the file with a password checkbox if you want to secure the file when exported.
- Enter a unique password in the Password text box.
- Select the format in which you want to export the file in the Choose format section.
- Click the Export button.
