How to set up ticket classes in Zoho Backstage

Ticket Class

Set up your online box office by creating free or paid ticket classes based on the type of event you're organizing. You can also control how your ticket details will be displayed on the event website by modifying ticket information when needed, highlighting a prominent ticket class, and controlling ticket sales by pausing or removing those that are inessential.

Add a ticket class

If you're hosting an event where attendees have free entry, you can set up a free ticket class. Otherwise, add a ticket class with paid tickets. You can also add multiple ticket classes and price them differently or offer other benefits that attendees can enjoy, in addition to entrance to your event.

  1. Go to Registrations > Setup > Ticket Class from the dock.
  2. Click the Add ticket class button.
  3. Enter a name for the ticket class.
  4. Set the status of the ticket class.
    1. Open: Indicates that ticket can be purchased.
    2. Closed: Indicates that sales have stopped.
    3. Mark as sold out: Indicates that all the tickets in the ticket class are sold out and that there is no more available for purchase.
  5. Enter the quantity of tickets you want to sell.
  6. Enter the price of each ticket in that class.
Note: Select the Free radio button if you're hosting an event without paid tickets.
  7. Enter or pick the number of tickets that a person can buy in a single order in the Minimum buying limit and Maximum buying limit text boxes.
Note: The maximum buying limit you set must be less than or equal to the total quantity of tickets in that class.
  8. Set up the date and time for when you want ticket sales to start and end.
  9. Provide a description that talks about all the incentives you offer for a particular ticket class.
  10. Set visibility access for your ticket class. Note: Hidden ticket classes will be displayed in the event website when its access code is used.

  11. Click Done. Your ticket class will display on the Tickets tab.

Note: By default, you can sell a maximum of 10,000 tickets per event using the Backstage ticketing platform. To increase the capacity of your event beyond this amount, please contact support@zohobackstage.com.

Registration Approval

Enable registration approval for tickets to know and review which attendees will take part in your event.

  1. Go to Registrations > Setup > Ticket Class from the dock.
  2. Enable the Registration Approval toggle button. Registration requests that are sent will now be displayed in the Registration Approval tab under the Registrations > Overview section.

Note: You can't disable the Registration Approval option when you have pending order requests to review in the Registration Approval tab under the Registrations > Overview section.

Edit a ticket class

Modify a ticket class to include new information or change existing information.

  1. Go to Registrations > Setup > Ticket Class from the dock.
  2. Click  to the right of the ticket class you want to edit.
  3. Select the Edit option to open the Edit Ticket Class panel.
  4. Edit any of the details for the ticket class such as the name, price, buying limit, sales date and time, description, or visibility.

Note: Once ticket sales start, some of the fields in the Edit Ticket Class panel will be disabled and the information can't be modified.

Feature a ticket class

Popularize a ticket class by featuring it on the event website.

  1. Go to Registrations > Setup > Ticket Class from the dock.
  2. Click  to the right of the ticket class you want to edit.
  3. Select the Feature option.

Hide a ticket class

Keep a ticket class undisclosed to event website visitors.

  1. Go to Registrations > Setup > Ticket Class from the dock.
  2. Click  to the right of the ticket class you want to hide.
  3. Select the Edit option. The Edit Ticket Class panel will display.
  4. Select any option in the Ticket visibility in event website section.
    1. Choose the Always hidden radio button to hide ticket class at all times.
    2. Choose the Hide when radio button to hide ticket class based on certain criteria. Indicate the criteria by selecting one or more of the checkboxes below the Hide when radio button.

Delete a ticket class

Remove a ticket class if you no longer want to sell it.

  1. Go to Registrations > Setup > Ticket Class from the dock.
  2. Click  to the right of the ticket class you want to hide.
  3. Select the Delete option. The Delete ticket class dialog box will display.
  4. Click Delete.
Note: Only ticket classes for which tickets haven't been sold can be deleted.
Handling event registrations using Zoho Backstage's ticketing platform is a paid feature enabled based on your subscription plan.
