Waitlist Tickets | Attendee Guide
Waitlist Ticket in Zoho Backstage lets attendees express interest in events that have sold out. Instead of missing the opportunity, you can join a queue and be notified automatically if a ticket becomes available.
Joining a Waitlist
When an event’s ticket class reaches its limit, you’ll see a button on the event website.
- Find the ticket in the event website.
- Click JOIN WAITLIST.
- Complete your registration details and payment (if required).
- You’ll receive an email confirming your waitlist.
When a ticket is on waitlist, companion tickets and session selections are unavailable until confirmation.
After Joining the Waitlist
Once registered:
- You’ll receive a confirmation email showing your waitlist status.
- You can view your order under Your Orders on the event website.
- Your waitlisted ticket will appear with a Waitlist tag.
- If you purchased multiple tickets, your order page will clearly show which tickets are confirmed and which are on waitlist.
Waitlist Confirmation
If additional tickets become available (through cancellations or capacity increases), your ticket will be confirmed automatically in the order it was received.
When this happens:
- You’ll get an email titled Waitlist Ticket Confirmed.
- Your ticket will appear under Your Tickets with a new ticket ID.
- You’ll gain access to all event details, session selections, and attendee tools configured the event organizer.
Email notifications are sent only if emails are configured for the event. The content of the confirmation email are determined by the event’s configuration and may vary accordingly.
Cancellations and Refunds
If you no longer wish to stay on the waitlist, you can contact the event organizer to cancel your ticket.
- All canceled waitlist tickets are fully refunded.
- Refunds for online purchases go to the same payment method used during registration.
- Offline transactions are marked as refunded by the organizer.
Standard cancellation policies do not apply to waitlisted tickets — refunds are always full.
Attending the Event
You cannot check in to any part of the event (main event, session, or zone) while your ticket is on the waitlist.
Once your ticket is confirmed:
- Your digital ticket becomes available immediately.
- You can access the permitted event areas and participate like any other attendee.
Automated Email Notifications
You’ll receive emails at every important step:
- Registration Confirmation — confirming your spot on the waitlist.
- Registration Details — showing your updated order once confirmed.
- Waitlist Ticket Confirmed — final confirmation that your ticket is now active.
Automated email notifications are sent only if email delivery is enabled for the event. The timing, availability, and content of these emails depend on the event’s configuration and waitlist settings, and may vary accordingly.
When the Event Begins
- Waitlist confirmations stop.
- If you’re still on the waitlist, your ticket remains unconfirmed.
- All unconfirmed waitlist tickets are automatically canceled and refunded three days after the event starts.
Tracking Your Status
Log in to the event website anytime to:
- View your order history and waitlist status.
- Download your confirmed ticket (once available).
- Review any automatic refund updates.
