Content Assistant

Overview

Create and refine event content directly in Zoho Backstage with Content Assistant. You can use AI to generate content, improve existing text, adjust its tone or length, and translate it without moving your content to a separate writing tool.

Content Assistant is available in supported text editors across Backstage. The actions available depend on the content you’re working with and the editor you’re using.

  1. AI must be enabled for the portal before the Content Assistant can be used. You can enable AI from Portal Settings > AI Console. 
  2. After AI is enabled, you can use the Content Assistant toggle under Configure AI Features to set its default state for new events. Changes made here apply only to events created afterward and do not affect existing events. The setting can be customized for individual events from their AI Console.
Notes
Changes made in the portal-level AI Console determine the default AI configuration for new events and do not affect existing events.


Generating New Content

When you’re starting without existing content, Content Assistant can help you create a first draft based on the information or instructions you provide. Instead of preparing the entire text yourself, you can describe what you need and use the generated response as a starting point.

The way content is generated can vary depending on where you use Content Assistant. In some editors, Zoho Backstage may already have contextual information that can be used to generate relevant content. In others, you can provide your own instructions about what you want to create.

Idea
For example, when adding a speaker, you could provide information about the speaker’s role, experience, and expertise and use Content Assistant to prepare a description. Similarly, you could use it to create an initial session description based on the subject and information you provide.

After generating content, you can review the response before deciding whether to use it. If the first response isn’t suitable, you don’t need to start again manually. You can regenerate it to get another version. To generate content:

  1. Open a supported text editor in Zoho Backstage.
  2. Click the AI icon.
  3. Select the available option for generating content.
  4. Provide the required information or instructions.
  5. Generate the content.
  6. Review the generated response.
  7. Click Insert to add it to the editor.
Info
You can also click Regenerate to generate another version or Copy to copy the response without inserting it.
Notes
The generation options available can vary depending on the editor and the context in which you’re using Content Assistant.


Enhancing Existing Content

If your existing content communicates the right information but needs further refinement, use Enhance instead of rewriting it from the beginning.

Enhance lets you tell Content Assistant what you want changed. For example, you could ask it to make a speaker description more engaging, simplify a technical session description, improve the clarity of an event description, or rewrite content with a particular audience in mind.

Along with your instructions, you can specify the format, tone, and length of the generated response. The format determines how the response is structured, the tone influences how the content sounds, and the length determines how concise or detailed it should be.

Idea
For example, if a session description is too technical, you could ask Content Assistant to make it easier for a general audience to understand, select Paragraph as the format, Informational as the tone, and Medium as the length.

The available formats include Essay, Paragraph, Email, and Message. You can choose from Formal, Casual, Informational, Funny, and Professional tones, and set the length to Short, Medium, or Long.
Notes
Selecting Email as a format instructs Content Assistant to structure the response like an email. It does not indicate that Content Assistant is available in the Email Designer.
  1. Select the content you want to improve.
  2. Click the AI icon.
  3. Select Enhance.
  4. Enter instructions in the Prompt field describing how you want the content improved.
  5. Select the required Format, Tone, and Length.
  6. Click Enhance.
  7. Review the generated content.
  8. Click Insert to use the enhanced version.

Info
You can also select Regenerate to generate another version or Copy to copy the result.


Changing the Tone of Content

The same information may need to be communicated differently depending on its audience. Change Tone lets you adjust how existing content sounds without having to rewrite it manually.

For example, a description initially written in a casual style could be changed to sound more professional, while formal content could be made friendlier and more approachable. The underlying information remains the basis for the generated version while Content Assistant adjusts how it is expressed.

You can choose from Professional, Casual, Direct, and Friendly. Once the new version is generated, you can switch between Original and Changed Tone to compare it with your existing content before making a change.

  1. Select the content you want to modify.
  2. Click the AI icon.
  3. Select Change Tone.
  4. Select the required tone.
  5. Review the generated version.
  6. Switch between Original and Changed Tone to compare the versions.
  7. Click Insert to use the generated content.

You can also regenerate the response or copy it without inserting it.


Adjusting Content Length

You can use Shorten and Expand when the information in your content is suitable but its level of detail needs to change.

Shorten creates a more concise version while retaining the main idea of the selected content. This can be useful when a description has become too lengthy or when you want to communicate the same information more directly.

Expand works in the opposite direction. It uses the existing content as context and generates a more detailed version. This can help when an initial description is too brief or needs additional explanation.

For both actions, Content Assistant lets you compare the generated result with the original before inserting it. This makes it easier to determine whether the change in length still communicates the information you intended.

Shortening the Content

  1. Select the content you want to shorten.
  2. Click the AI icon.
  3. Select Shorten.
  4. Review the generated version.
  5. Switch between Original and Shortened to compare the versions.
  6. Click Insert to use the shortened content.

Expanding the Content

  1. Select the content you want to expand.
  2. Click the AI icon.
  3. Select Expand.
  4. Review the generated version.
  5. Switch between Original and Expanded to compare the versions.
  6. Click Insert to use the expanded content.

Review Generated Content Before Using It

Content Assistant does not automatically apply generated content to the editor. This gives you an opportunity to review the response before replacing or adding to your existing content.

Depending on the action you’re using, you can:

  1. Regenerate the response when you want Content Assistant to produce another version.
  2. Copy the response when you want to use it elsewhere without inserting it into the current editor.
  3. Insert the response when you’re satisfied with the generated content and want to add it to the editor.
For transformations such as changing the tone, shortening, or expanding content, you can also switch between the original and generated versions to compare them.
Alert
Always review names, dates, links, pricing, policies, event details, and other important information before publishing AI-generated content.

Things to Keep in Mind

The Content Assistant options you see can vary depending on the text editor and the type of content you’re working with. Not every supported editor necessarily provides every Content Assistant action.

Content Assistant must also be available through the applicable AI configuration. The portal-level AI Console establishes its default state for new events, while organizers can customize the setting for individual events from the event-level AI Console. Changes made at the portal level do not affect existing events.

Most importantly, Content Assistant is intended to help you create and refine content rather than make publishing decisions for you. Generated responses are presented for review, and changes are applied only when you choose to insert them.
