Forwarding your incoming emails to Bigin

With the help of Email-in topping, you can convert your sales, support emails etc as a new record in Bigin's pipeline. All email aliases created via Email-in will contain the domain bigin.com. (Example: sales@zylker.bigin.com) However, if you already own an email alias for your business domain (Example: sales@zylker.com) then you can
configure a forwarding rule (in your email client) to route the incoming emails to Bigin's email alias.
 
For example if your customers send an email to sales@zylker.com, it must be configured to forward all your incoming emails to your Bigin alias i.e sales@zylker.bigin.com

Configuring a Forwarding Rule

The steps to configure a forwarding rule will vary from one email client to another. Let us look at the steps involved for a few email providers below:

Zoho Mail

You can configure Zoho Mail to forward emails to your Bigin account automatically. While doing so, you can choose to retain a copy of the emails in your Zoho Mail mailbox.
 
To forward emails from Zoho Mail
  1. Log in to Zoho Mail account with administrator credentials.
  2. Click the Settings icon ( ) in the upper right area.
  3. Click Email Forwarding under Mail Accounts on the Settings page.
  4. Enter your Bigin email alias and hit Enter.( Example: sales@zylker.bigin.com)
    Zoho Mail will send a verification email to your Bigin email alias.
 The emails sent to sales@zylker.com will now be sent to your Bigin account. Learn more about forwarding emails from Zoho mail here.

Microsoft 365

You can forward emails to your Bigin account from your Microsoft 365 hosted exchange by following these steps,
Alert
You must be an Exchange administrator or Global administrator in Microsoft 365 to do these steps.
  1. In the Admin center, go to the Users > Active users page.
  2. Select the name of the user whose email you want to forward, then open the properties page.
  3. On the Mail tab, select Manage email forwarding.
  4. On the email forwarding page, select Forward all emails sent to this mailbox, enter the forwarding address, and choose whether you want to keep a copy of forwarded emails. If you don't see this option, make sure a license is assigned to the user account.
  5. Select Save changes.

Google Workspace

  1. Sign in to your Google Admin console.
  2. From the Admin console Home page, go to Apps>Google Workspace>Gmail>Default Routing.
  3. Click Configure to set up Default routing. Or, to add a new default routing rule, click Add another rule.
  4. Click Add Setting.
  5. From the drop-down list, specify your email address (i.e., sales@zylker.com).
  6. In the [If the envelope recipient matches the above] section, select Modify Message from the drop-down list.
  7. Check the Add custom headers option.
  8. Click Add and enter a custom header for X-Orig-To (i.e., sales@zylker.com).
    This way, your agents can know that an email was routed.
  9. Check the Change envelope recipient option.
  10. Enter the Bigin email alias in the Replace recipient field (i.e., sales@zylker.bigin.com).
  11. In the [Options] section, select Perform this action on non-recognized and recognized addresses.
  12. Click Save.

Gmail

  1. Open Gmail using the account you want to forward messages from. You can only forward messages for a single Gmail address, and not an email group or alias.
  2. Click Settings > See all settings.
  3. Click the Forwarding and POP/IMAP tab.
  4. In the Forwarding section, click Add a forwarding address.

  5. Enter the email address you want to forward messages to.
  6. Click Next > Proceed > OK.
    A verification message will be sent to that address. Click the verification link in that message.
  7. Go back to the settings page for the Gmail account you want to forward messages from, and refresh your browser.
  8. Click the Forwarding and POP/IMAP \tab.
  9. In the "Forwarding" section, select Forward a copy of incoming mail to.
  10. Choose what you want to happen with the Gmail copy of your emails. 
  11. Click Save Changes.
