Set up integration with Zoom Meeting
Integrating Bigin and Zoom Meeting lets you schedule or start an online meeting from Bigin for people to join from anywhere and the meeting recording will be available in the Events detail page.
Availability
- Available in Express and Premier editions.
Step 1: Activate Zoom Integration for a Bigin Organization
- Go to Settings > Integrations > Zoom Meeting and click Setup Now.
- In the Zoom Meeting page, click Activate.
- Once the integration is activated by the Admin, individual users who want to use Zoom integration can connect their Zoom account with Bigin. This can be done via a pop-up that appears when the user tries to schedule an online meeting.
Step 2: Schedule an online meeting
- Go to the Activities module and click the Events tab.
- Click + Event.
- Enter the Event Information.
- Select the Online Meeting checkbox.
- Choose Zoom Meeting from the drop-down.
- Click Connect Now in the pop-up that appears.
- Choose the contacts, users, or enter an email address in the Participants field.
- Click Save.
Alternately, you can also schedule a meeting from the Contacts module.
- Go to the Contacts module and select a contact.
- In the Contacts Details page, Click the Meeting icon > Schedule online meeting.
- Enter the Event Information, choose the appropriate date and time and click Save.
Invite participants to a meeting
You can invite more participants to join the online meeting even after scheduling the meeting.
To invite participants
- Go to the Activities module and click the Events tab.
- Select the desired online event.
- Click +More in the Participants section and select contacts, users, or enter an email address.
- Click Save.
Alternately, you can also click Copy invitation link to get the meeting invitation URL and share it to the participants via email, social media, etc.
Create an Instant Meeting
You can set up a meeting right away with a contact from the Contact details page.
To create an instant meeting
- Go to the Contacts module and select a contact.
- Click the Meeting icon > Meet Now.
- Enter the Event information and click Start Meeting.
You will be redirected to a Zoom Meeting page and the contact will receive a meeting invite via email to join the meeting.
Start a meeting from Bigin
You can start the online meeting right from your Bigin account. This will help you save the time spent on scrolling through your emails to find the meeting invite. The Start Meeting button will be available in the Event details page, 15 minutes prior to the meeting start time.
You can also join the meeting by clicking the Start Meeting from the Notification alert.
View meeting recording
Zoom Meeting lets you record your online meetings. If you record your meetings on Zoom then the same will be available in the Events details page in Bigin once the meeting is completed.
To view recordings
- Go to the Activities module and click the Events tab.
- Open the desired online event.
The video recording will be available under the Recording section.
Please note that it will take at least 15 minutes for the recording to be available after the meeting is completed. It may take longer if the recording file size is very large.
Disable Meeting Integration
Disabling Zoom Meeting integration will no longer allow you to create an online meeting. However, the meetings that you had created earlier will not be deleted from Bigin and Zoom Meeting.
To disable the integration
- Go to Settings > Integrations > Zoom Meetings and click Manage.
- Click Deactivate in the Zoom Meetings page.
Uninstall Bigin from Zoom Marketplace
- Login to your Zoom account and navigate to the Zoom App Marketplace.
- Click Manage > Installed Apps or search for Bigin by Zoho CRM app.
- Click Bigin by Zoho CRM.
- Click Uninstall.
