Managing Users, Roles, and Profiles in iOS

The Users & Controls section in the Bigin mobile app enables administrators to manage organizational users, define roles, and configure profiles directly from their mobile devices. This feature provides flexibility for admins to handle user management tasks without being tied to a desktop, ensuring that team structures and permissions can be updated in real time, even while on the move.

For instance, a retail company hires a new sales representative. The admin uses the Bigin mobile app to add the new employee as a user, assigns them the "Sales Representative" role to ensure they report to the Sales Manager, and assigns the "Sales Profile" to grant access to the Deals and Contacts modules. This setup is completed within minutes, allowing the new hire to start working immediately.

The Users & Controls section is organized into three subsections: Users, Roles, and Profiles.
Managing Users
Employees who belong to your Bigin organization are referred to as users. The Users subsection allows admins to view, add, edit, and manage user accounts.

Viewing users

  1. Tap the More icon > Settings > Users & Controls > Users.
  2. View the list of all users in your organization.
Use the filter options to view active, inactive, invited, or deleted users.

Searching for users

  1. Tap the Search icon in the Users section.
  2. Enter search criteria such as first name, last name, role, profile type, or email address.
  3. Tap Search to view matching results.

Inviting or adding users

  1. Tap the More icon > Settings > Users & Controls > Users.
  2. Tap the + icon.
  3. Enter the user's details, including name and email address.
  4. Assign a role and profile to define their access level.
  5. Tap Send Invite or Add User.

Editing user details

  1. Navigate to Users & Controls > Users.
  2. Tap on the user whose details need to be updated.
  3. Modify the necessary fields such as name, role, or profile.
  4. Tap Save to apply the changes.

Re-inviting or deactivating users

  1. Admins and super admins can re-invite users who haven't accepted their invitation or deactivate users who no longer require access.
  2. Navigate to Users & Controls > Users.
  3. Tap on the user to be re-invited or deactivated.
  4. Tap Re-invite to send a new invitation or Deactivate to revoke access.

Deleting users

  1. Only super admins can delete users from the organization.
  2. Navigate to Users & Controls > Users.
  3. Tap on the user to be deleted.
  4. Tap Delete and confirm the action.

Managing Roles

Roles define the organizational hierarchy and control data or record visibility across that hierarchy. Assigning roles to employees ensures that sensitive information is accessible only to the appropriate levels within the organization.

Adding roles

  1. Tap the More icon > Settings > Users & Controls > Roles.
  2. Tap the + icon.
  3. Enter the role name and define its position in the hierarchy.
  4. Tap Save.

Editing roles

  1. Navigate to Users & Controls > Roles.
  2. Tap on the role to be modified.
  3. Update the role name or hierarchy position.
  4. Tap Save.

 Deleting roles

  1. Navigate to Users & Controls > Roles.
  2. Tap on the role to be deleted.
  3. Tap Delete and confirm the action.

Viewing users assigned to a role

  1. Navigate to Users & Controls > Roles.
  2. Tap on a role to view the list of users assigned to it.
  3. Tap on a user to view and edit their details.

Managing Profiles

Profiles define the permissions set for each user and the actions they can perform within the Bigin organization. Profiles control access to modules, fields, and specific functionalities.

 Adding profiles

  1. Tap the More icon > Settings > Users & Controls > Profiles.
  2. Tap the + icon.
  3. Enter the profile name and configure the required permissions.
  4. Tap Save.

Deleting profiles

  1. Non-system defined profiles can be deleted. System-defined profiles cannot be removed.
  2. Navigate to Users & Controls > Profiles.
  3. Tap on the non-system profile to be deleted.
  4. Tap Delete and confirm the action.

Viewing users assigned to a profile

  1. Navigate to Users & Controls > Profiles.
  2. Tap on a profile to view the list of users assigned to it.
  3. Tap on a user to view and edit their details.
