1. In a nutshell

Booking notice is the period between booking time and appointment time. It's the notice time given for the user to get to know about the upcoming appointment. You can set how soon or how far this notice period should be.

2. Feature availability

  • Super admins and admins can manage booking notice for all event types 
  • Workspace admins can manage it only for their workspace's event types 
  • Managers and staff can only view it


3. Overview

Bookings offer two types of booking notice to define the minimum and maximum notice period required. It can be defined in days, hours or minutes. For example, a user needs a notice of at least 2 days minimum and up to a maximum of 10 days from any current day. 

  • Minimum Booking Notice: It is the shortest notice period needed before an appointment. You can avoid last-minute bookings by setting minimum booking notice. (eg. two hours from booking time)
  • Maximum Booking Notice: It is the longest notice period an appointment can be booked. You can avoid too far bookings by setting the maximum booking notice. (e.g. 30 days from booking time)

4. Use cases

4.1 Minimum booking notice

Kevin, the super admin of Zylker Consultations needs at least two days of notice before any appointment is booked so that he gets time to prepare. Therefore, he sets the Minimum Booking Notice to 10 days. Now, customers can only see the slots after 10 days from the current date. This prevents last-minute bookings. 


4.2 Maximum booking notice

Kevin doesn't want appointments that are too far in the future. So he sets the Maximum Booking Notice to 20 days. Now, only the slots for the next 20 days from the current date will be available to book. This prevents bookings too far out.

 

5. Steps to set booking notice 

  1. Go to the required workspace and click Event Types on the left side pane. The event types added under the selected workspace will be listed.
  2. Hover over the required event type and click the options icon , then select Edit

  3. Click the Scheduling Rules tab on the left. Under the Minimum Booking Notice and Maximum Booking Notice, select the required values from the dropdown. Changes are auto-saved. The setting period can be in days/hours/minutes.



Let's assume the time now is 2.00 pm and we want to set the minimum booking notice to two hours. Now, the booking page will not show the slots of the next two hours. The below image shows the slots that are available after two hours (4.00 pm in this case).



Let's assume that today is February 2nd, and we want to set the maximum booking notice to 20 days. Now, the booking page will only show slots for the next 20 days. The below image only shows the dates of the next 20 days.



InfoInfo: This duration between the two times should be sufficient, as it is the open window for accepting appointments. In the above case, from any given time, the scheduling window will be from 2 days to 20 days


6. Points to note

  • If the maximum and minimum booking notices are set to 0, appointment slots are open always.
  • Weekends will also be included while counting the days for booking notice.
