Integrate Zoho Bookings with Zoho Meeting

3. Overview

Zoho Meeting is online meeting software that helps you host virtual meetings and video conferences for seamless remote collaboration. Connecting Zoho Bookings with Zoho Meetings lets you meet your clients online.

4. Steps to integrate Zoho Meeting

Prerequistie

  • This integration requires a Zoho Meeting account with a suitable plan to set up online meetings.

 4.1 Connect Zoho Meeting 

  1. Click the Admin Center icon in the top-right corner of Bookings. Select Video Conferencing under Integrations.


  2. Click the Zoho Meeting card, then click Connect.


  3. Read through the permissions and click Accept. Your Zoho Bookings and Meeting accounts will be connected.

4.2 Choose meeting mode in event types 

For event types that require to meet through Zoho Meeting, you need to select Zoho Meeting as meeting mode.  

  1. Switch to the required workspace by clicking the workspace name under the Bookings icon in the top-left corner.

  2. Click Event Types on the left sidebar, then select the required event type.



  3. In the Event Details tab, click Edit on the right side. Then, select Online under Meeting mode and choose Zoho Meeting in the next dropdown. Click Save.



    Perform the above steps for all the required event types.
    Alternatively, you can also set the meeting mode while creating a new event type.


 
4.3 Add users to Zoho Meeting 

Bookings users must be added as a user in Zoho Meeting to generate meeting links for the respective users' appointments. Refer to this help page on how to add users in Zoho Meeting.

 


NotesNote: You can integrate more than one video conferencing tool at a time. On the event type settings, you can choose any one of the integrated video conferencing tools.

5. What to expect after integration

Once the above integration is completed, each time an appointment is booked for the selected event types, a Zoho Meeting link will be generated automatically. Bookings users can access this link in the Appointment Summary and also in the email notification (if configured). 



Upon accessing the meeting in Zoho Meeting, customer details that were entered in the booking form can be seen under the Agenda section of Zoho Meeting.



Customers can get this link in the email notification(if configured) and in the booking confirmation page. 



Email notifications that are send to users and customers have a variable %meeting_info% included by default. This adds the meeting link to the email. If you've removed it before while customizing, you can add it by navigating to Insert VariableMeeting Info in the message editor.



6. Disconnect the integration

If Zoho Meeting is not required for your online meetings, you can disable the integration. Upon disconnecting it, meeting links will not be generated for appointments booked. However, links created before disconnecting will work. 

To disconnect:

  1. Click the Admin Center icon  in the top-right corner of Bookings. Select Video Conferencing under Integrations
  2. Click the Zoho Meeting card, then click the Options icon  at the top-right corner.
  3. Select Disconnect. This disconnects the Zoho Meeting integration.


7. Troubleshooting

Why is a meeting link not being generated even after integrating?

  • If the meeting link is not getting generated for the booked appointment, ensure the below:
  • Check if the user booked for the appointment is added as a user in Zoho Meeting.
  • Check if the event type's meeting mode is selected as Zoho Meeting.


8. Points to note

  • The choice for Meeting Mode under Event Type Details is retained even when Zoho Meeting integration is disabled and enabled again.
  • The booked user can conduct the meeting. The participant(s) can join the meeting and start collaborating.
