1. In a nutshell
If an employee is no longer working for your organization, that user can be deleted from your Bookings organization. Admins can delete users from all workspaces. Workspace admins can only delete a user if they are only assigned to their workspace; otherwise, the user will only be unassigned from their workspace and not deleted.
Deleting the user will remove them from the current organization, but they can still log in to their Bookings account and join any other organization if invited.
Super admins and admins can delete all workspace users
Workspace admins can remove users from their assigned workspaces
Managers and staff cannot perform user deletion.
3. Steps to delete a user
Switch to the required workspace by clicking the workspace name under the Bookings icon in the top-left corner and Click Users in the left sidebar of Bookings. The users added in the selected workspace will be listed.
Hover over the required user and click the Options icon and select Delete.
Case 1: Deleting a user with upcoming appointments
Solution 1: If the user you are looking to delete has upcoming appointments, you will be asked to reschedule those appointments before you can delete them. Click Reschedule Appointments, and you will be taken to the appointments list page ,where you can change the user for those appointments.
Solution 2: You can cancel all those appointments that the user is booked for.
Solution 3: You can mark the user as inactive instead of deleting them altogether. This will restrict customers from making further appointments with that user.
Case 2: Deleting a user with past appointments If the user you are looking to delete has past appointments, you can choose what happens with the history of appointments after the user is deleted.
Solution 1: The history of appointments can be deleted for both users and customers.
Solution 2: You can delete the history only from your bookings account while keeping it available for customers; they can view it in their portal or through a bookmarked link.
Case 3: Deleting a user with group booking
Solution: If the user is assigned to a group booking, you can assign a different user to the group booking, then proceed to delete the user.
Details of a user cannot be retrieved after deletion.
4. Points to note
The number of users that can be added is based on the subscription plan that users hold with Zoho Bookings.
You can also mark the user as inactive instead of deleting them.
