How to Connect Your Calendar


Connecting your calendars with Bookings makes it easy to handle your appointments across multiple calendars.

 

Highlights of this feature:

  • Check availabilities from multiple calendars and open slots to customers accordingly.

  • Add appointments to any (one) calendar and prevent double invites.

You can connect to any of the following calendars:

  • Zoho Calendar

  • Zoho CRM Calendar

  • Google Calendar

  • Office365/Outlook Calendar

To connect to a calendar

  1. For admins: Go to Integration > Calendars.



    For staff and managers: Click Calendar Connections on the top right side of the menu bar.



  2. Click Connect towards the calendar you wish to add.

  3. You will be redirected to the authorization page. Click Accept.

  4. A pop-up will appear, asking you to choose which calendar(s) to check for availability. Choose the calendar(s) and click Apply.

  5. The chosen calendar is now connected. You can see three sections on this page.

    1. Check Conflicts with: Checks availabilities from all the calendars chosen in this section. You can click the edit icon  to choose the calendars.

       

    2. Add Bookings to: Appointments will be added to the calendar chosen in this section. Please note that appointments can be added to one calendar only. 

           

      You can also choose not to add your bookings to any calendar by choosing Do not add new events to a calendar from the Choose calendar account drop-down option.
      Select the checkbox 'Set as default to add invite to customer calendar' to send calendar invite to the customer.

    3. Calendar Accounts: This section displays the calendar connections you have added. If you want to connect more calendars, click the Add Calendar button on the right end of this section. Use the three-dotted icon to perform the actions below.

      1. Reauthorize: Use this option if the calendar connection is not working properly. You will be notified through email and in-product notification if there is an issue with the connection.

      2. Disable: Use this option to disable the sync but retain the connection.

      3. Disconnect: Use this option to remove the calendar connection.



Notes
Note: When an event is marked as a free event in your external calendars, it will not be synced or blocked. i.e. Bookings syncs only busy events. However, you can change this setting in your external calendar for Zoho Calendar, Google Calendar, and Office 365 calendar.


For a staff to connect to Zoho CRM Calendar:

  1. Super admin should have integrated Zoho CRM Calendar in Bookings.

  2. The staff should be added to the Zoho CRM organization.

  1. Super admin and admin can view the calendar connections of staff under the Staff section.
  2. Calendars can be added for Resources in the same way under Settings  > Resources > Calendar Accounts.
  3. Zoho CRM Calendar will not be counted under calendar connections.
  4. Existing customers will continue to add appointments to multiple calendars as before; however, maintaining a single calendar is recommended.

Below is the data collected and synced for calendar integrations


On configuration:

    1. account id
    2. calendar id

 

When an appointment is created (synced to calendar):
   1. Service details
   2. Customer name, email, contact number, and custom field values except encryption enabled fields.
   3. Attendee emails
   4. Appointment timing
   5. Location / Meeting details

 

On syncing calendar events to Bookings:
    1. Event name
    2. Event timing
    3. Event id
    4. Calendar id
