Workspace

A Workspace is a collection of teams, people, and resources inside a brand's organization. You can set one up for a specific team, division, or project.

Workspaces add a layer of hierarchy to a larger account. Instead of everyone working out of one shared space, each team gets its own, so people see only the campaigns and contacts related to their work. A retail company might run one workspace for its loyalty program and another for promotions, with a different group of users in each.

How to view Workspace? 

To view the Workspaces section,

  1. Click Settings icon at the top-right corner of the screen.

  2. Click Workspaces under Users and Control.

  3. Now, you'll see the list of all your workspaces.

  4. You can click on individual workspaces to view them or make any edits.

 How do you create a Workspace? 

  1. Click Settings at the top-right corner of the screen.

  2. Click Workspaces under Users and Control.

  3. Click the Create workspace button at the top right (A workspace will be created by default when setting up new).

  4. Enter a name for the workspace and click Save and Next.

  5. Add users and invite them to your workspace. You can either add an existing user  from the list, or add a new user to the workspace. You can also assign a role for the user from the Role dropdown.

  6. Admins and Workspace Admins are added by default. You can choose to remove or keep the workspace admin or change their role in the new workspace.

  7. Then click Save and next and configure the Contacts and Topics Settings

  8. Click done and your workspace is now created..

 Configuring Workspace Settings

 Contact and Topics Criteria 

As part of the Workspace creation, it is important to set up how data will be accessed across all the workspaces within the organization. For modules like contacts and topics, you need to manually configure how data is accessed. Let us look at the configuration for both the modules.

 Contacts 

You can choose one of the below options to define data sharing between workspaces for the Contacts module.

 All Contacts 

Selecting this option will let you make all the contacts in your organisation visible in your workspace and all members of all workspaces will have access to the contacts based on the workspace privilege for their role.

 Add Only Specific Contacts 

Selecting this option will let you select only a particular set of contacts in your organisation visible in your workspace ie only those contacts will be added to this space that meets the set criteria. You can include contacts who were added manually, imported via API fetch, and via signup forms irrespective of the set criteria by enabling the corresponding checkbox available in the bottom of this section.

 Topics 

You can choose one of the below options to define data sharing between workspaces for the Topics module.

 All Topics 

All the topics in the organization will be added to this space, and all members of all workspaces will have access to the topics.

 Add only specific topics 

You can select one or more topics to be associated with a workspace. In this case, the members of a particular workspace will only be able to access the contacts associated with the topics linked to that workspace.

Workspace Management     

In this section, we will walk through all the activities that can be used to manage a workspace. Workspace can be created only by organization administrators. Only Organization administrators and workspace administrators can modify the settings of the workspace.

Note:
When you're adding users in the Portal section, you can associate them with multiple workspaces and allocate a role for them in each workspace at once.

How to add/invite new users to a workspace? 

  1. Click on the settings from the top-right corner of the screen.

  2. Click Workspaces under Users and Control.

  3. In the Workspace page, click the workspace name to which you wish to add the user.

  4. Click Add user button in the top right corner.

  5. You can add an existing user (who is added to the organization but works in a different workspace) by selecting their name/email from the dropdown and selecting a role for them.

  6. or you can add a new user by selecting the new user section and entering their email address, name and the role you want to assign to them.

  7. Click Add Now to finish adding them to your workspace.

The user gets an invitation mail, in which they must accept the invite to be added to the workspace as the assigned role.

 Configuring Contacts and Topics for your workspace  

  1. Click Settings icon at the top right corner of the screen.

  2. Click Workspace under Users and Control.

  3. Choose the workspace you want to make the changes to.

  4. Choose the module settings you want to update and navigate to the respective tab:

    1. Contacts

    2. Topics

  5. Choose one of the options under the specific module:

    1. All: The data under the corresponding module will be available for everyone in the organization across all the workspaces.

    2. Specific data access: Selective data under the corresponding modules will be accessible to certain users based on criteria or if they belong in the selected workspace. When you click this choice, you might've to select your custom criteria(Contacts/topics) for that workspace and click Add Topics/Contacts to make the changes.

  6. The changes will be automatically Saved as soon as you change them in the pop-up screen.
