A workflow is made up of three types of components:
Triggers - The entry point that defines when a contact enters the workflow. For example, when a contact is added to a mailing list, submits a form, or abandons a cart. Learn more about triggers.
Process - Components that control the flow and path a contact takes through the workflow. These include conditions like If/Else, Check Email Activity, Multi-way Split, and Random Split. Learn more about process components.
Action - Components that perform tasks on the contact that entered the workflow. These include engagement actions like Send Email, Send SMS and send WhatsApp, productivity actions like Add To List, Assign Tag, Update Contact Field, and Update Lead Score, as well as CRM actions like Push Data, and Create Task. The workflow listing page, creation flow, and workflow detail views have been completely redesigned for a cleaner, more streamlined experience.
The template gallery has been expanded with new pre-built workflow templates organized into categories. You can also filter templates by channel - Email, SMS, or WhatsApp.
Errors in the workflow builder are now surfaced in a more intuitive way. An error badge in the toolbar shows the count, and clicking it reveals a detailed breakdown of what needs to be fixed before you can launch the workflow.
The delay component now supports minute-level delays, giving you finer control over timing within your workflows.
Re-entry logic and trigger conditions are now configured directly at the trigger level, making it easier to manage how and when contacts can enter or re-enter a workflow.
A new timeline provides better visibility into how your workflow was built and modified over time.
You can now trace a contact's path across multiple executions of a workflow, not just their most recent entry. You can also search for contacts using phone numbers in addition to email addresses.
Workflow reports now include a detailed channel-level analytics for all three channels - Email, SMS, and WhatsApp.
Contact reports now include contextual timestamps such as entered time and exited time. If a contact re-enters a workflow, they will appear multiple times in the report - once for each entry - giving you a complete picture of their journey through the workflow.
To access Workflows in Zoho Campaigns 3.0:
Log in to your Zoho Campaigns account.
In the left navigation panel, click Workflows. You'll land on the Workflows home page.
If you've already created workflows, you'll be taken to the workflow listing page where all your existing workflows are displayed. From here you can:
Click + Create New to create a new workflow.
Filter workflows by status (Draft, Active, Paused), creator, or folder.
Organize workflows into folders.
Workflows is also accessible from the global search bar, where you can search across your workflows by name
