This doc walks you through:
The structure of the Workflows listing page, including tabs, columns, and the metrics shown for each workflow
Searching for a specific workflow and filtering the list by status, dates, creator, and performance statistics
Saving your own custom views
Organizing workflows into folders, including moving multiple workflows at once
From the left sidebar, click Workflows. This opens the Workflows listing page, which shows every workflow in your account grouped and organized in one place. If you're managing more than a handful of workflows, this page is where you'll spend most of your time finding, checking on, and cleaning up your automations.
At the top of the page, workflows are split across tabs by status:
All Workflows. Every workflow in your account, regardless of status.
Draft. Workflows you've started building but haven't activated yet.
Active. Workflows currently running and processing contacts.
Paused. Workflows that have been temporarily stopped and can be resumed.
Suspended. Workflows suspended by the system or an admin.
Click the ... next to the Suspended tab to see the full list of views, including one more default tab, Stopped, along with any custom views you've created. More on custom views below.
Note: If a tab has no matching workflows, you'll see an empty state with a message like "No matches found. There are no matches in the selected view."Each workflow in the table shows the following columns:
Column | What it shows |
Name | The workflow's name |
Status | Draft, Active, Paused, Suspended, or Stopped, color-coded for quick scanning |
Contacts Entered | Total contacts that have entered the workflow |
Contacts Exited | Total contacts that have exited the workflow |
Contacts Re-Enrolled | Total contacts that re-entered the workflow after exiting |
Criteria Based Exit | Total contacts who exited because they matched an exit criterion |
Created On | Date and time the workflow was created |
Created By | The user who created the workflow |
Note: A dash (-) in any statistics column means that metric currently has no data. For example, a workflow still in Draft shows dashes across all the contact statistics since it hasn't started processing anyone yet.At the top left of the page, use the Search in Workflows bar to find a workflow by name.
Click into the search bar, or press / to jump to it from anywhere on the page.
Start typing. As you type, a dropdown shows matching workflows along with their current status.
Click a result to open that workflow directly, or click Search in Workflows at the bottom of the dropdown to see the full list of matches.
If you haven't typed anything yet, the dropdown instead shows Recent Searches, so you can quickly re-run a search you used before.
Filters let you narrow the list down using specific conditions instead of scanning through everything manually.
Click the filter icon (funnel) next to the folder selector.
In the Filter Workflows panel, select the checkbox next to any field you want to filter by. Fields are grouped under two sections:
Workflow Details: Name, Status, Created date, Created by
Workflow Statistics: Contacts Entered, Contacts Exited, Contacts Re-entered, Criteria Based Exit
Once you check a field, a comparison operator and a value field appear beneath it. The options depend on the field type:
Status and Created by let you choose is or isn't, then pick one or more values from a dropdown.
Created date lets you choose is on, isn't on, is between, or isn't between, then pick a date from the calendar picker.
The Workflow Statistics fields (Contacts Entered, Contacts Exited, Contacts Re-entered, Criteria Based Exit) let you choose equal, isn't equal to, less than, less than or equal to, greater than, greater than or equal to, is between, is empty, or isn't empty, then enter a number.
You can also use the Search box at the top of the panel to quickly find a specific field instead of scrolling through both sections.
Click Apply to filter the list, or Clear to reset your selections.
If you find yourself applying the same filter combination often, save it as a custom view instead of rebuilding it every time.
Click the ... next to the status tabs.
In the Search view dropdown, you'll see your Default Views (All Workflows, Draft, Active, Paused, Suspended, Stopped) and, below them, any Custom Views you've already created.
Click Create Custom View at the bottom of the dropdown.
In the Create View panel that opens:
Enter a View Name. This is required.
Optionally, check Share this view with everyone in the workspace if you want teammates to see and use this view too.
Under Specify Criteria, select the fields you want the view to filter by. These are the same Workflow Details and Workflow Statistics fields available in the Filter Workflows panel.
Click Create View.
Your new view now appears under Custom Views the next time you open the ... dropdown, right alongside your default status tabs.
Folders help you keep related workflows together, especially useful once you're running dozens of them across different campaigns or teams.
Click All Folders at the top right of the listing page to see every folder in your account. From here you can:
Search for a folder by name using the search box at the top of the dropdown.
Click any folder to view only the workflows inside it.
Click Unclassified to see workflows that haven't been added to any folder yet.
Click All Folders.
Click Create Folder at the bottom of the dropdown.
Enter a Folder name.
Click Save.
In the workflows table, select one or more workflows using the checkboxes. Hover over a row to reveal its checkbox, or click the checkbox in the table header to select every workflow currently listed.
Once you've selected at least one workflow, a toolbar appears showing how many workflows are selected, along with a Move to Folder button.
Click Move to Folder, then search for or select the destination folder from the dropdown. You can also click Create Folder right from this dropdown if the folder you need doesn't exist yet.
Click Cancel at any point to deselect everything and dismiss the toolbar without moving anything.
Idea:Group workflows by campaign, region, or team, whatever makes sense for how your organization actually works. A consistent folder structure makes the Unclassified bucket a lot easier to keep empty.
