1. What information does the Zoho Campaigns dashboard show, and what are its limitations?  

The Zoho Campaigns dashboard provides a high-level, real-time summary of your email marketing activity. It is designed to help you quickly monitor campaign performance and subscriber engagement without navigating into individual campaign reports.
What you can see on the dashboard:
  • Overall engagement metrics, such as opens, clicks, bounces, and unsubscribes
  • Performance of recently sent campaigns
  • Subscriber growth and total contact count
  • Subscribed vs unsubscribed contact trends
  • Scheduled activities for the next 24 hours
  • Limited automation email activity summaries
What the dashboard is not intended for:
  • Detailed or campaign-specific analysis
  • Granular time-based insights (for example, hourly metrics)
  • Advanced filtering by campaign type, list, or date range
  • Exporting or sharing dashboard data as downloadable files
These limitations exist because the dashboard displays aggregated, continuously updating data. It is meant for monitoring and visibility, not for in-depth reporting.
Where should you check instead?
Use the Reports module for campaign-level analytics and exports. For advanced filtering, scheduled reports, and custom dashboards, integrate with Zoho Analytics.

2. Why can’t I export or schedule dashboard reports?  

Dashboard widgets in Zoho Campaigns are view-only and cannot be exported as files or scheduled for periodic email delivery.

This means you cannot:
  • Download dashboard charts as PDFs, images, or spreadsheets
  • Schedule dashboard summaries to be emailed automatically
This is because dashboard metrics are dynamic and cumulative, and exporting static versions could lead to data inconsistencies.
Instead, you can check:
  • Use Reports to export campaign-level data
  • Use Zoho Analytics to schedule and share reports  

3. Why can’t I filter dashboard data by time range, list, or campaign type?  

The Zoho Campaigns dashboard does not offer filtering options for time range, mailing lists, or campaign types. It always shows aggregated account-level data.
Filtering is intentionally limited to keep the dashboard simple and performance-focused.
Use Campaign Reports or Zoho Analytics to apply filters and perform deeper analysis.

4. Why is data missing, delayed, or not showing correctly on the dashboard?  

If expected data does not appear on the dashboard, it is usually due to how campaign data is processed and when it becomes available. The dashboard shows metrics only after campaigns are successfully sent and engagement begins.
Common reasons for missing or delayed data include:
  • The campaign is still in Draft, Scheduled, or Sending status
  • The email was sent as a test campaign, which is excluded from dashboard metrics
  • The campaign was triggered through an API or external tool
  • Contacts have not yet opened or clicked the email
  • The user does not have sufficient role-based permissions
Campaign results typically begin appearing almost immediately after sending and update automatically as engagement continues.
So, what should you do instead?
  • Confirm campaign status under Campaigns.
  • Review delivery and engagement details in Reports.
  • Verify access permissions under SettingsUsers & Roles.

5. Which campaigns and automation data are included in the dashboard?  

The Zoho Campaigns dashboard displays performance data only for email campaigns that are sent through Zoho Campaigns. This includes both regular campaigns and limited data from automation workflows.
What is included:
  • Sent regular email campaigns
  • Email-based activities from automation workflows (such as opens, clicks, and unsubscribes)
  • Automation email activity summarized for the last 7, 15, and 30 days
What is not included:
  • Draft or test campaigns
  • Campaigns still in Scheduled or Sending status
  • Non-email workflow actions (for example, delays, tag updates, or CRM actions)
  • Full automation workflow performance metrics
Automation data is intentionally summarized on the dashboard to maintain a high-level view. For detailed insights, automation workflows have their own dedicated reports.
Where should you check instead?
  • Use Automation Reports to view detailed workflow performance
  • Use Campaign Reports for campaign-level delivery and engagement metrics

6. How does the dashboard calculate contact, list, and subscription counts?  

The dashboard shows aggregated contact and subscriber metrics to help you understand audience growth and engagement trends over time. These numbers are calculated based on predefined time windows and contact categories.
How different counts are calculated:
  • Total Contacts
    Includes all contacts in your account: marketing, non-marketing, and unsubscribed contacts.
  • New Contacts
    Displays contacts added in the last 7, 15, and 30 days, helping you track recent audience growth.
  • Subscribed vs Unsubscribed Contacts
    Shown as a bar graph representing subscription changes over the past six months, along with the total unsubscribed count.
  • List Count Differences
    The dashboard reflects contacts added to lists in the last 30 days. This may differ from individual list views, which show the complete list size.
Because the dashboard uses time-bound summaries, its numbers may not always match detailed list or contact views.
Where should you check instead?
  • Open Mailing Lists to see complete list-level contact counts
  • Use Contacts for full subscriber status and segmentation details

7. Why do numbers differ between the dashboard, campaign reports, and Zoho Analytics?  

It’s normal to see differences in metrics such as unsubscribes, bounces, or engagement when comparing the Zoho Campaigns dashboard, individual campaign reports, and Zoho Analytics. This happens because each view presents data at a different level of aggregation and timing.
How data is calculated in each view:
  • Dashboard
    Displays cumulative, account-level data across all campaigns. Metrics such as unsubscribes and bounces are added together from multiple campaigns and shown as totals.
  • Campaign Reports
    Show campaign-specific data, limited to a single email campaign. Numbers here reflect only what happened for that particular campaign. Use Campaign Reports for accurate, campaign-level performance.
  • Zoho Analytics
    Displays synced and aggregated data pulled from Zoho Campaigns at intervals. This data may not update in real time and can differ slightly due to sync frequency and report configuration. Use Zoho Analytics for historical trends, cross-campaign analysis, and custom reporting.
Because of these differences:
  • Unsubscribe or bounce counts may appear higher on the dashboard than in a single campaign report.
  • Dashboard totals may not match Zoho Analytics immediately
  • Reports may show smaller, more precise numbers for individual campaigns.

8. How customizable is the dashboard and how can I manage widgets?  

Zoho Campaigns allows basic dashboard customization so you can arrange widgets in a way that suits your workflow, while still keeping the data consistent across the account.
Click the customization button in the right corner of the screen to access customization.
What you can customize:
  • Rearrange widgets based on your preference
  • Hide or remove widgets temporarily from view
  • Use two dashboard pages (Page 1 and Page 2) to organize different sets of widgets
  • Reset the dashboard layout to the default view at any time
What you cannot customize:
  • Add custom widgets using HTML, scripts, or third-party embeds
  • Permanently delete default widgets
  • Create different dashboard layouts for different users
  • Theme customization (including dark mode)
Dashboard customization is user-specific, meaning changes you make affect only your own view and do not impact other users.
If you need advanced or fully customized dashboards, use Zoho Analytics, which supports custom widgets, filters, and layouts.

9. Who can access the dashboard, and can it be shared with others?  

Access to the Zoho Campaigns dashboard is not limited to through user roles and permissions. All users within an account see the same dashboard data, but what they can access depends on their assigned role.
How dashboard access works:
  • The dashboard is available for all the users who have access to Zoho Campaigns.
  • There is no dedicated read-only mode specifically for the dashboard.
  • To allow someone to view dashboard data, they must be added as a user to the Zoho Campaigns account.
Sharing the dashboard with others:
  • You cannot share the dashboard publicly or externally.
  • Clients or colleagues must be added as users.
  • Users with the Admin role have full access to dashboard data and related modules.

10. What external or integrated data is shown on the dashboard?  

The Zoho Campaigns dashboard displays only data generated within Zoho Campaigns itself. While integrations and tracking features are available, most external data sources are not reflected directly on the dashboard.
What is included:
  • Email campaigns created and sent directly from Zoho Campaigns
  • Engagement metrics generated by those campaigns (opens, clicks, bounces, unsubscribes)
What is not included:
  • Campaigns sent via API or third-party tools
  • UTM parameters or Google Analytics tracking data
  • E-commerce metrics such as abandoned cart statistics from Shopify or WooCommerce
  • CRM updates that are not synced correctly or mapped through integrations
CRM contact updates will appear on the dashboard only if:
  • CRM integration is enabled
  • Field mapping is correctly configured
  • Sync is completed successfully
External analytics and e-commerce insights must be viewed in their respective tools.
Where can you check instead?
  • Use Zoho Analytics for advanced reporting, UTM analysis, and combined data views
  • Check Integrations settings for CRM sync status
  • Use the e-commerce section of Zoho campaigns for store-related metrics

11. Where is the dashboard located, and what actions can I perform from it?  

The Zoho Campaigns dashboard is the default landing page once you log in to your account. You can access it anytime from the left-hand navigation panel.
From the dashboard, you can:
  • View a real-time summary of campaign performance and subscriber activity
  • Monitor upcoming scheduled activities
  • Navigate quickly to campaigns, reports, and other modules.
  • Create a new campaign directly using the Create option at the top right.
Dashboard refresh behavior:
  • The dashboard updates automatically as new engagement data is received.
  • There is no manual refresh button; simply reloading the page will show the latest metrics.
The dashboard is meant for quick monitoring and navigation, not for editing campaigns or running detailed analysis.
Where should you check instead?
  • Use Zoho Campaigns's other features to create, edit, and manage email campaigns.
  • Use Reports for delivery status, engagement breakdowns, and performance insights.

12. Where can I find help, support, and learning resources from the dashboard?  

Zoho Campaigns provides multiple support and learning resources directly from the dashboard, making it easy to get assistance without leaving the product.
Available resources include:
  • Support email address and regional contact number, available at the bottom of the dashboard.
  • Links to recorded webinars and Knowledge Base articles to learn about features and best practices.
  • The option to schedule a demo, which connects you with the sales team for a guided walkthrough.
These resources are intended to help both new and existing users better understand the dashboard and other Zoho Campaigns features.
Subscription-related information:
  • Full subscription and billing details are not displayed on the dashboard but you can see your current subscription plan along with the plan limits and usage for the month.

Campaign reach and engagement details:
  • The dashboard does not show detailed recipient-level data for each campaign.
  • For this information, you should always use the Reports module.
