Set up sync with Zoho Recruit

Zoho Recruit is an all-in-one talent acquisition solution that offers a powerful Applicant Tracking System (ATS) and CRM in a single recruitment platform. With scalability, customization, and remote hiring tools, Zoho Recruit has everything your staffing agency or internal HR team needs to match the right candidate to the right role.

By integrating Zoho Recruit with Zoho Campaigns, you can import Candidates and Contacts from Zoho Recruit as Contacts to Zoho Campaigns. This will help you to send relevant newsletters, campaigns and surveys to candidates.


Set up the sync  

  1. Click Contacts in the Navigation Toolbar, then click Sync Services.

  2. Hover over Zoho Recruit and click Associate New Account. Click on Continue in the next screen that appears.



  3. The two apps will be connected. You will see a screen as shown below. You can proceed with adding a sync and also performing additional settings.



  4. Click on Active Syncs to view the page where your active syncs are listed. In this page you can either click on Add New Sync to add a new sync or Setup to enable or disable additional settings.



  5. Once you click on Add New Sync you will see a page where you can set up a new sync. Select the module to be synced i.e either Candidates, Contacts, or any other custom module. Once you select the module, all the records (Contacts or Candidates) in that module from Zoho Recruit will be synced to All Contacts view of Zoho Campaigns.



  6. Select a list if required to which you intend to sync the contacts. The synced contacts will be available in the selected list as well as in the All Contacts view.
  7. Select a topic if required to associate your contacts with a relevant topic if you want to send email campaigns to the contacts.
  8. Choose the desired value in the Lawful basis for communication if required. By choosing this, the consent status provided by the Candidate or Contact in Zoho Recruit will be pushed to Zoho Campaigns.
  9. Enable Update empty field value toggle if required. By enabling this, values of mapped fields removed in Zoho Recruit will also be updated with empty values in the respective field of Zoho Campaigns.
  10. Enable the necessary toggles under Advanced options depending on your sync requirement.
  11. Click Next and proceed to map fields.
Notes
Notes:
  1. Both your Zoho Campaigns and Zoho Recruit accounts must be registered under the same email address for this integration to take place.
  2. When you choose the module as Candidates, an additional option will appear after you select a list to which the Candidates need to be synced.


    This toggle allows you to remove the Converted Leads from the List.
  3. It is possible to set up multiple syncs using the Add New Sync option. But if you have first set up a sync for Contacts module, you can only choose to set up sync for the Candidates module.
  4. In order for you to choose the Topics, you need to have more than one topic created in your Zoho Campaigns account.
  5. In Zoho Campaigns, under Settings -> Compliance Settings -> if you enable GDPR Settings, the Lawful basis for communication option will be available for choosing when setting up the sync.

Map Fields  

Map your contacts Zoho Recruit fields to respective Zoho Campaigns fields to import the contact information.


  1. Click Map more fields to map additional fields.



  2. Click Initiate once you are done.
  3. The New Field checkbox above the Zoho Campaigns field will automatically create a new field with the same name as the Zoho Recruit field selected if that field is already not present in Zoho Campaigns.
  4. When you click on Initiate once the field mapping is done, you may see a pop-up regarding the Disclaimer about auto-upgrade.

  5. Once the sync is completed, you will see the Configuration screen of the sync where you can find essential information about the sync.

  6. You will also be notified of the sync completion from the notification section (bell icon) in your Zoho Campaigns account.



    Click on the notification button to view the notification related to the sync.


    When you click on this notification, you would be taken to this particular sync's Configuration view which is discussed in the next section.

Sync Detail View  

To see the detail view of the sync,
  1. Click Contacts in the Navigation Toolbar, then click Sync Services.

  2. Hover over Zoho Recruit. Click on the Active Syncs to see the list of syncs.

  3. Click on a sync to view the details of the sync such as the Configuration, Field Mapping, and Sync History.



Edit Sync Configuration  

  1. Click Contacts in the Navigation Toolbar, then click Sync Services.

  2. Hover over Zoho Recruit. Click on the Active Syncs to see the list of syncs.
  3. Click the sync name to see the sync detailed view. 
  4. Click Edit at top right to edit the sync.



  5. Click Next to edit field mapping. Then, click Initiate.
  6. Click Save.

View Sync History 

  1. Click Contacts in the Navigation Toolbar, then click Sync Services.

  2. Hover over Zoho Recruit. Click on the Active Syncs to see the list of syncs.

  3. Click on a sync to view the details of the sync such as the Configuration, Field Mapping, and Sync History.



  4. Here you can see a detailed view of your sync list:
    1. Sync time - The time at which the sync was performed.
    2. Total records - Total number of contacts synced at the given time.
    3. Added -  Number of new contacts added at the given time.
    4. Updated - Number of existing contacts updated.
    5. Skipped - Number of contacts not synced since they didn't match the sync criteria. The icon beside the skipped count allows you to export the list of the skipped records.

Push Data to Zoho Recruit 

Under the Setup option, you will be able to configure the Opt-Out and Lead Score permissions in order to sync data from Zoho Campaigns to Zoho Recruit.
  1. Click Contacts in the Navigation Toolbar, then click Sync Services.

  2. Hover over Zoho Recruit. Click on the Active Syncs to see the list of syncs.
  3. In the next page that appears, click on Setup at top right. You will be taken to the Integration Settings.

  4. In this page, you can configure the Opt-Out and Lead Score permissions.

  5. Click on Edit beside both the section to configure the options.
  6. For Opt-Out, you can either choose Email opt-out field of Zoho Recruit or Custom field of Zoho Recruit. If you choose the custom field option, you need to create a custom field with Checkbox as data type for the Contacts or Candidates module in Zoho Recruit. Based on the option you choose, the opt-out data will be pushed from Zoho Campaigns to Zoho Recruit.



  7. For Lead Score, you can update the Lead Score data from Zoho Campaigns to a Number type custom field in the selected module in Zoho Recruit.

Disable Integration

To disable the integration between Zoho Campaigns and Zoho Recruit:
  1. Go to Settings. Under Integration section click on Apps.



  2. Search for Zoho Recruit, hover over it, and click on View details.



  3. At far right of the next page click on Deny.


  4. In the pop-up that appears, click on Go Ahead once you've read the effects of disabling this integration.
