Overview
In Zoho Connect, if you can’t invite a user to your network, it’s usually due to a few common reasons. Here’s how to find the issue quickly and fix it.
First, you need to know what a Zoho Organization is.
What is a Zoho Organization?
A Zoho Organization (Org) is your company's central portal in Zoho.
For example, when you sign up using your company name (Ex: Zylker), Zoho creates an Org for it. You can then add your team members to this Org and manage all users and services from a single place.
How does this work with Zoho Connect?
If you already use Zoho products like Zoho Mail and Zoho Workplace, you'll already have an Org. You can decide whether to use the same one or not when creating a portal in Zoho Connect.
If you don’t have an Org yet, a new one will be created for you when you sign up in Zoho Connect.
Note- We do this because every network in Zoho Connect must be linked to an Org. So whether you already have one or a new one is created, your network will always be connected to an Org.
User already belongs to different Org
A user can be part of only one Zoho organization at a time. If they are already in another organization, your invite won’t go through.
The user must first leave their current Org before joining yours. They can do this in one of the following ways:
Ask the user to leave their current organization.
Request their org admin to remove them from their network.
Once they are removed, resend the invite.
Once they are no longer associated with the previous Org, you can resend the invitation, and they will be able to join your network.
Note- If the user cannot leave their current organization, you can invite them as an external user, so they can still access your network. However, external users will have limited access and permissions compared to regular members.
Check whether the user is already added
Sometimes the invite fails because the user is already part of your network.
To check that:
Go to Users & Controls from Settings.
Check both Members and External Users lists.
Use search to quickly find out whether the user is already added.
Invite failure due to data center mismatch
An invitation can also fail if the user’s Zoho account is registered in a different data center than your network.
Zoho accounts are created in specific regions (like US or EU). If your network and the user’s account are in different regions, the invite will fail.
For example, your network is in the US, but the user’s account is in the EU.
To resolve this, the user must:
Delete their existing Zoho account that belongs to the other data center.
Create a new Zoho account in the same data center as your network and accept the invitation again.
Using the earlier example, if your network is in the US and the user’s account is in the EU, they must delete the EU account and create a new account in the US data center before joining.
Alternatively, if they don’t want to delete their account, you can invite them using a different email address.
License error
A user invite may fail if there are no available licenses in your organization. In Zoho Connect, license limits depend on your subscription plan. View our pricing page to check the license count for each plan.
Possible fixes:
Go to your Usage Details page and check how many licenses are available.
Note that pending invites also count toward your license limit.
If needed, delete unused pending invites or upgrade your plan.
Invite reminder limit exceeded
A user invite may fail if you’ve reached the maximum number of invite reminders allowed. In Zoho Connect, there is also a limit on sending reminders. Admins can send up to one invite and three reminders for a pending user.
Possible fixes:
Once you reach the limit, you’ll need to wait 90 days for it to reset before sending new invites.
Alternatively, go to Pending Invites in People Directory and cancel the pending invite and re-invite the user.
Invite rejected
If the user has already rejected a previous invite, the invite will fail. You cannot invite them right away.
Possible fixes:
When the entered email address in invalid (Ex: michellar.@zylker.com), the user invite will fail.

Issues while inviting external users
1. Same email domain
You cannot invite external users using the same email domain as your organization.
Possible fix:
2. User already part of your organization
If the user already belongs to your Zoho organization (through another Zoho app), they cannot be invited as an external user.
