Archiving an Article

Overview

Using the Archive Article option in Zoho Connect, you can remove Articles from the Manual listing without deleting them. You can still access these Articles from the Archived Articles tab. This makes it easier for reference, and you can unarchive the Articles anytime you want to. 

Example:
Let's say your team has created a Manual with Articles to document the initial ideation and requirements of every feature in the upcoming software release. Later, your team has decided to shelve a few features. In this case, instead of deleting the Articles that aren't required currently, you can archive them.

Who can archive and unarchive an Article? 

Only the Admins and contributors of a Manual can archive and unarchive the Articles in it. 

How to Archive an Article? 

  1. Click Manuals from the main menu in the left. 
           
  1. Select the required Manual from the extended menu. 
  2. From the list of Articles, navigate to the one that you'd like to archive. 
  3. Click the ellipsis (...) found in the top-right part of the Article.
           
  1. From the dropdown menu, click Archive this Article.
           

What happens once the Article is archived? 

Once an Article is archived, the Article gets removed from the Manual listing and is moved to the Archived Articles tab. All further activities such as editing and adding new comments in the Article are disabled.  Admins and contributors of the Manual can access the Article in read-only mode. 

Where to find the archived Articles? 

  1. Click Manuals from the main menu in the left. 
           
  1. Click the ellipsis (...) found at the bottom of the extended menu. 
           
  1. From the list of options, select Archived Articles. 
           
  1. You'll find a list of archived Articles from all the Manuals in which you are an admin or contributor.
  2. From there, you can view the Articles and also unarchive them, if needed. 
Only the admins and contributors of a Manual can view the archived Articles in it. 

How to unarchive an Article? 

  1. Click Manuals from the main menu in the left. 
           
  1. Click the ellipsis (...) found at the bottom of the extended menu. 
           
  1. From the list of options, select Archived Articles.
           
  1. You'll find a list of archived Articles from all the Manuals in which you are an admin or contributor.
  2. Navigate to the required one and click Unarchive found at the right end of the Article name. 
           
The option to archive an Article is available only in paid plans of Zoho Connect.
