Overview

Use the Share Board option in Zoho Connect to share a read-only copy of a Board with network members who are not a part of that Board, or with anyone on the internet using a public link. You can also set a password for public links to prevent unauthorized access. 

Password protected sharing

To ensure that your data is safe and can only be accessed by certain users while sharing in web, Zoho Connect provides a password-protect option. People with the URL will only be able to access the Board and its content by entering the password you've set. 

Who can enable Share Board option?

Only the Board admins can enable the Share Board option and set a password.

How do I enable Share Board option?

  1. Click Tasks in the main menu on the left.
  2. Select the required Board in the extended menu.
  3. Click the ellipsis [...] in the top-right corner of the page.
  4. Select Settings from the dropdown.


  5. In the Settings pop-up, switch to the Advanced tab.
  6. Navigate to the Share Board option and toggle the button to enable it.


  7. Select who you'd like to share the Board in the dropdown.
  8. If you are sharing the Board on the web, and would like to password-protect it, select the checkbox below the URL field.


  9. Enter a password and click Save.

 If shared on the web, anyone who has the URL can send it with others. Your Board will be accessible from this URL until you delete it or remove sharing. 

How do people on the internet access a Shared Board?

  1. Open the link shared to you.
  2. Enter the password, if required.
  3. Click Submit.

How do network members access Boards shared with them?

  1. Click Tasks in the main menu on the left.
  2. Click Shared with Me in the extended menu. A new page will appear with the list of Boards shared with you.

     

How do I disable the Share Board option?

  1. Click Tasks in the main menu on the left.
  2. Select the required Board in the extended menu.
  3. Click the ellipsis [...] in the top-right corner of the page.
  4. Select Settings from the dropdown.


  5. In the Settings pop-up, switch to the Advanced tab.
  6. Navigate to the Share Board option and toggle the button to disable it.

     
Once the option is disabled, anyone trying to view the Board using the previously shared URL will not be able to access it.
