Managing Contract Types

Map System Fields

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click to open the contract type that you want to map the system fields. 
  4. Click Field Settings at the top of the contract type details page.
  5. Map the document fields with system fields, then click Save

Note:
  1. System field mapping is required only for contract types created using uploaded templates, whereas templates created from scratch do not require field mapping, as system fields can be inserted directly into the contract type templates.
  2. Publish the contract type to map the document fields to system fields in the uploaded template.
  3. Dropdown, Email, Phone, and Percent fields in the document cannot be mapped to system fields.
  4. If you insert any new document fields in the contract type template, you should map them in the Field Settings to automatically populate those fields upon contract creation.
  5. Managing contract types with uploaded templates is available only in paid plans. 

Edit Created Template and Republish

To edit a template created from scratch and republish the contract type:
  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click to open the contract type that you want to edit the template in. 
  4. Click Edit at the top of the contract type details page. 
  5. Make the necessary changes to the Intro Text, Clauses, Ending Text, and the Attachments. To learn more, see Building a Contract Type Template
  6. Click Close at the top of the Edit Template page. 
  7. Click Republish at the top of the contract type details page.

Note:

  • You can view a preview of the edited contract type template by clicking Preview at the top of the Edit Template page. 
  • The changes that you make to the template will apply to the new contracts only when you republish the contract type. 

Edit Uploaded Word Template and Republish

To edit an uploaded word template and republish the contract type:
  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click to open the contract type that you want to edit the template for. 
  4. Click Edit Template at the top of the contract type details page, then make the necessary changes to the uploaded word template.
  5. To insert document fields, click More  at the top-left corner of the document editor, then select the Fields tab.
  6. Click Fillable Fields under the Dynamic Fields heading, then select the field type under the Fields & Buttons heading in the Fillable Fields panel. The new field will appear before the cursor.
  7. Click the field to enter the document field name in the Label field under the Field Properties heading in the Text Field panel that opens on the left. 
  8. To fill a default value for the new field, enter the value in the Pre-filled Value field. If the same field needs to be added in multiple places in the document, you can copy and paste the inserted document field.
  9. After you inserted the document fields, click Done at the top of the Edit Template page. 
  10. Click Republish at the top of the contract type details page to republish the uploaded word template. 
Notes
NoteThe changes that you make to the template will apply to the new contracts only when you republish the contract type. 

Revert to Published Version for Word Template

To revert to the previously published version after you edit the template:
  1. Click More  in the contract type details page.
  2. Click Revert to Published Version.

Note: Once the contract type is republished, reverting to the previously published version is not possible.

Upload New Version for Word Template and Republish 

To upload a new version of the uploaded template and republish the contract type:

  1. Select the Admin tab at the top of the page.

  2. Select Contract Types from the left panel.

  3. Click to open the contract type you want to upload a new version for.

  4. Click Upload New Version at the top of the template. The Upload New Version window will be displayed.

  5. Click to select a file or drag and drop a file, then click Upload.

  6. Click Republish at the top-right corner.


Edit Contract Type Details 

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click to open the contract type that you want to edit the details in. The Contract Type Details panel on the right will display the details.   
  4. Click Edit  next to a field, change the value, then click Update to edit the detail. 


Disable a Contract Type

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click to open the contract type in the Published state that you want to disable. 
  4. Click More  at the top-right corner of the contract type details page. 
  5. Choose Disable


The contract type will be disabled.

Tip

You can also disable a contract type from contract types list page. To do so: 

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click More  next to the name of the contract type that you want to disable. 
  4. Choose Disable

Note

  • After you disable a contract type, it will not be displayed in the list of contract types at the time of contract creation until re-enabled.
  • Contract types that are in the Draft state cannot be disabled.

 

Enable a Contract Type

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click to open the contract type in the Disabled state that you want to enable. 
  4. Click More  at the top-right corner of the contract type details page. 
  5. Choose Enable

The contract type will be published.

Tip: 

You can also enable a contract type from contract types list page. To do so: 


  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click More  next to the name of the contract type that you want to enable. 
  4. Choose Enable


Unpublish a Contract Type

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click to open the contract type in the Published state that you want to unpublish. 
  4. Click More  at the top-right corner of the contract type details page. 
  5. Choose Unpublish


The contract type will move to the Draft state.

Note:

  • When a contract type is unpublished, admins can edit the contract type template and the details. However, members cannot create new contracts with the contract type. 
  • When a contract type is disabled, admins will neither be able to edit the contract type template and details nor create new contracts with the contract type.  

Associate an Approval Workflow with a Contract Type

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click to open the contract type with which you want to associate the approval workflow. 
  4. Click Edit  under Approval Workflow in the Contract Type Details panel on the right. 
  5. Choose the approval workflow from the picklist field, and then click Update




QuoteTip: You can also associate an approval workflow to a contract type at the time of contract type creation. To learn more, see Creating Contract Types and Building Templates
NotesNote: Suppose the contract type had a different approval workflow before you edited and associated the new workflow. In that case, contracts with this contract type in the pending approval state will follow the old workflow until they complete the current approval cycle. 

  1. Select the Admin tab at the top of the page.

  2. Select Contract Types from the left panel.

  3. Click to open the contract type you want to print.

  4. Click More at the top-right corner of the contract type details page.

  5. Choose Print Template.

 Download a Contract Type 

  1. Select the Admin tab at the top of the page.

  2. Select Contract Types from the left panel.

  3. Click to open the contract type you want to download.

  4. Click More at the top-right corner of the contract type details page.

  5. Choose Download As, then choose the format in which you want to download the contract type.

You can also download a contract type directly from the contract types list page. To do so:

  1. Select the Admin tab at the top of the page.

  2. Select Contract Types from the left panel.

  3. Click More  next to the name of the contract type that you want to download.

  4. Choose Download As, then choose the format in which you want to download the contract type.

Duplicate a Contract Type

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click to open the contract type that you want to duplicate. 
  4. Click More  at the top-right corner of the contract type details page. 
  5. Choose Duplicate
  6. Enter the name of the contract type, then click Save.

NotesNote: If you wish to make changes to the duplicated contract type, click Save and Edit after entering the name of the contract type. To learn more, see Building a Contract Type Template

You can also duplicate a contract type directly from the contract types list page. To do so: 

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click More  next to the name of the contract type that you want to duplicate. 
  4. Choose Duplicate
  5. Enter the name of the contract type, then click Save.

Delete a Contract Type    

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click to open the contract type that you want to delete. 
  4. Click More  at the top-right corner of the contract type details page. 
  5. Choose Delete

Tip: 

You can also delete a contract type from contract types list page. To do so: 

  1. Select the Admin tab at the top of the page. 
  2. Select Contract Types from the left panel. 
  3. Click More  next to the name of the contract type that you want to delete. 
  4. Choose Delete.
