Managing Signers and Viewing Activity

Edit Signer Details

  1. Select the Contracts tab at the top of the page. 
  2. Click to open the contract in which you want to edit the signer details. 
  3. Click More   in the contract details panel on the left, then choose Signature.
  4. Click More  at the top of the Signature tab, then choose Edit

NoteYou cannot make changes to the signing order or remove a signer when a contract is in the Sign Pending state. 

View Signer and Receiver Details

  1. Select the Contracts tab at the top of the page. 
  2. Click to open the contract for which you want to view the signature activity. 
  3. Click More  in the contract details panel on the left, then choose Signature. The Organization Representatives, Counterparty Representatives, and Receivers section in the Signature tab will display the respective signer and receiver details.
                  

The table below explains the status icons in the Organization Representatives, Counterparty Representatives, and Receivers tab.

Message sent to the signer

Displays the actual message to the respective signer.

       
Authentication is enabled for this signer

Displays the Authentication code delivery mode, email address, phone number, and the actual code.

Hovering over an icon will display the tooltip information. 

View Signing Order

  1. Select the Contracts tab at the top of the page. 
  2. Click to open the contract for which you want to view the signing order. 
  3. Click More  in the contract details panel on the left, then choose Signature.
  4. Click View Signing Order below the list of signers in the Signature tab.

View Advanced Settings

  1. Select the Contracts tab at the top of the page. 
  2. Click to open the contract for which you want to view the signature activity.
  3. Click More  in the contract details panel on the left, then choose Signature. The Advanced Settings section in the Signature tab will display the signature reminder notification details.
       

View Signature Activity 

  1. Select the Contracts tab at the top of the page. 
  2. Click to open the contract for which you want to view the signature activity. 
  3. Click More  in the contract details panel on the left, then choose Signature. The Activity section in the Signature tab will display the activity timeline.




The table below explains the status icons in the Activity tab.

Displays the time when the signer received the email notification.

Displays the time when the signer signed the contract.  


                    
 
 Physically signed and awaiting for   review or review completed and   pending to be sent for next level

 Displays the time when the     signer physically signed and the   contract owner has accepted the   contract. This indicates both the     following two statuses:
  1. Physically signed and awaiting review

  2. Physically signed and reviewed but waiting to be sent to the next level signatures


Signature Declined


Displays the time when the signer declined the signature request. 


Hovering over an icon will display the tooltip information. 

Note: If the contract is currently in the post-execution stages, you can choose to view the signature activity of the original document or the amendment or renewal letter, from the dropdown menu next to the Activity heading.

             

View Previous Cycles 

When a contract goes through more than one signature cycle due to signature decline by one or more signers, the contract owner can view the signature activity in all the previous signature cycles and view the respective cycles' contract document.
  1. Select the Contracts tab at the top of the page.
  2. Click to open the contract whose signature cycles you want to view.
  3. Select the Signature tab in the contract details panel on the left.
  4. Click View Previous Cycles below the Activity section. The left panel will display the activity of all the previous signature cycles.
  5. Click View Document next to a cycle to view the contract document version that you sent for signature in the respective cycle. 


Recall Signature

  1. Select the Contracts tab at the top of the page. 
  2. Click to open the contract in the Sign Pending state for which you want to recall the signature.
  3. Click Recall Signature at the top.  

Note:

  1. The signers of the contract will be notified about the recall via email. 
  2. A contract or its amendment, renewal, or extension that is in Sign Pending status will be auto-recalled when:
  1. The contract gets past its effective date during Sign Pending status. This applies to the contracts whose Effective Date is a specific date.

  2. The connected Zoho Sign account gets disconnected.

  3. The contract owner in Zoho Contracts, who sent the contract for signature, is deleted in Zoho Sign.

  4. The contract has expired.

  5. The contract has been terminated.

  6. The Zoho Contracts plan has been downgraded to the Free plan, and the contract is not among the latest 10 contracts created.

  7. The Zoho Contracts plan has been downgraded from the Professional plan to the Standard plan, and the contract is not among the first 25 contracts created in that particular month.

Extend Signature Expiry

A contract status will change to Sign Expired if the parties involved in its signature did not sign the contract document within a particular period. The failure to execute on time can be due to various reasons, like changes in circumstances, requiring more time to complete some necessary steps before the contract signature, etc. The signature expiration date for such contracts can be further extended in Zoho Contracts.

 

To extend the signature expiration date:

  1. Select the Contracts tab at the top of the page.

  2. Click to open the original, amended, or renewed contract in the Sign Expired state for which you want to extend the signature expiry date.

  3. Click Extend Sign Expiry at the top-right corner of the page, select a new date, then click Extend.  

 

The contract will change to the Sign Pending status, and notification will be sent again to the respective parties for signature.

Note:

  • The default number of days by which a sign pending contract will change to Sign Expired state in Zoho Contracts is 15 days. You can customize this number of days in Zoho Sign under Settings > Account settings > Days to complete.

  • The Extend Sign Expiry button won't be available for Sign Expired state contracts  whose Contract End Date is a specific date and if that end date has passed.
