Modules in this application
This application provides a user interface that allows you to add and manage your vehicles and their drivers, track maintenance dates and statuses, generate invoices for completed services, set reminders for license renewals, and much more. With the digital management of fleets, paperwork is a thing of the past.
Dashboard
This app's Dashboard page offers visual intuitiveness by consolidating data from different app components, such as forms and reports, and displaying them as numerical and textual data in different sections. You can view the number of:
- Open and overdue issues
- Overdue and upcoming service reminders
- Active and archived vehicles
- Assigned and unassigned vehicles
- Overdue and upcoming licenses to be renewed
- Active and archived users
Settings module
This module can be accessed only by the super-admin and admins.
This module enables you to add vehicle types and groups into which your vehicles can be categorized. You can also enter service task details, along with their description. This serves as the ultimate vehicle maintenance checklist, enabling you to keep track of your service inspection dates.
Vehicles module
This module can be accessed only by the super-admin and admins, with the exception of a report that is accessible by added drivers.
This module acts as a central repository where you can add and update your vehicles' details, including their technical specifications, and track their usage details. This allows for efficient retrieval of vehicle data in one place. After adding the vehicle details, you can proceed to assign the vehicles to their respective drivers. This application will then be shared with your drivers, with restricted permissions as configured, i.e. drivers can view their vehicle details in the My Vehicles report.
This module can be accessed only by the super-admin and admins.
This module enables you to maintain a database to track every driver, service vendor, and employee in your organization. You can perform the following:
- Adding new users (drivers, owners, or both) by entering their basic and contact information
- Adding new vendors, along with their contact details, and categorizing them as being service or fuel related
- Viewing and updating the list of your users and vendors as and when required
Based on the user type chosen (drivers or owners), the application will be shared with the respective permissions configured
Issues module
This module can be accessed by your drivers.
This module enables drivers to add issues related to their vehicles and assign them to the respective vendors. They can also set the priority date by which the issue(s) needs to be fixed. Drivers can monitor the pace of issue fixes in the Issues report.
Service and fuel entries module
This module can be accessed by your drivers and owners.
This module serves as the hub for service history and fuel logs. Using this module, drivers can raise requests for vehicle services and partial/full fuel fill-ups. They can also keep track of the service dates and completed services, along with vendor details. After the completion of the respective requests, invoices can be generated for the same.
Reminder module
This module can be accessed by your drivers.
In this module, your drivers can set periodic reminders, so they never miss maintenance dates or license renewals again. They can choose the event to be reminded of, add service tasks, and mention the email addresses to which email reminders will be triggered. Drivers can also view individual reports for service and renewal reminders respectively and take the required actions.
Records module
This module can be accessed only by the super-admin and admins.
This module serves as the central repository for admins to view the following, in a neatly categorized manner:
- All of your vehicle issues
- All of your service entries
- All the fuel entries
- All reminders (both service and renewal)
Reports module
This module can be accessed only by the super-admin and admins.
This module enables you to spend more wisely, by depicting the costs related to services and fuel fill-ups. There are two reports in this module:
- Service costs - This is a pivot chart report that displays insights in a vertical bar chart, based on the service type chosen.
- Fuel costs - This is a pivot chart report that displays insights in a vertical bar chart, based on the fuel fill-up type chosen.
Install the application
You can install the app from three locations:
- Zoho Creator App Deck
- Zoho Marketplace
- App Gallery
Installing the application from Zoho Marketplace is easy! Once you install it, the app can be set up and ready to use. You can explore the modules in the app, tweak the app to accommodate use cases specific to your business, and add, modify, and view data.
You can also add users and define roles and permissions, such as add, modify, delete, and view data, and map users to the permissions defined, thus allowing them limited or full access to your app.
- Go to Zoho Marketplace.
- Scroll down to the Zoho Creator section and click View All.
- Select the Fleet Hub Management app and click Install.
The application will be installed on your device and you'll be ready to go!
Application setup
This application makes the entire process of tracking, managing, maintaining, and analyzing your fleet-based operations a seamless experience. You can monitor fleet health, troubleshoot an identified issue, or take corrective actions, thereby increasing operational efficiency, improving fleet safety, and maximizing profitability. After
installing the application, the super admin or admins can perform the following actions:
Step 1: Navigate to the Settings section. Access the Vehicle Types form and add the types of vehicles you own.
- Access the Vehicle Groups form and add the group name, to categorize your vehicles.
- Access the Add Service Task form and enter the required details.
- View and modify the details in the respective reports.
Step 2: Navigate to the Vehicles section.
1. Access the Add Vehicle form and enter your vehicle details, such as name, type, group, registration number, and so on.
- Upon form submission, you'll be taken to the Add User form in the Contacts module.
- You can navigate to the Vehicles module and view the assigned/unassigned vehicles in the Assignment History report.
- Owners and drivers can view their assigned vehicles in the My Vehicles report.
2. Enter the required details in the Add User form. You can choose the user type as driver, owner, or both.
Based on the user type chosen (drivers or owners), the application will be shared with the respective permissions configured.
3. Access the Add Vendor form and enter the vendor details pertaining to service or fuel vendor types.
Your app is now all set for use!
To do more with this application:
- Navigate to the Issues section to add and address issues related to your vehicles.
- Navigate to the Reminder section and add reminders for new services or licence renewals. Emails will be triggered accordingly.
- Navigate to the Reports section to analyze the fuel and service costs.
Automation
The app is fully equipped with automations to monitor and manage your assets efficiently and effortlessly. The workflows in the app are used to hide/show and enable/disable certain fields in the forms, trigger emails upon adding issues, redirect to another form upon a form's submission, share/un-share forms and reports, set reminders for services, and more.
Sharing your app
You can
share this app with
users at your organization, defining
roles and
permissions so that users with specific roles have specific levels of access to the components of the app.

If you wish to uninstall this application:
- Navigate to Solutions and click the Fleet Hub Management application.
- Hover over the card and click the ellipsis icon (three dots).
- Click Delete.
