Understanding charts

In a nutshell
Charts are interactive elements that can be embedded inside pages of a Creator application, providing a visual representation of data. They offer various chart types like bar, pie, and line charts, along with customizable features such as filtering, stacking, and drill-down options. These charts work seamlessly based on forms and reports, enhancing data-driven insights and improving real-time reporting.
Availability
  1. Charts can be created in all plans of Creator.
  2. Only the super admin, admins, and developers can create and manage charts.

1. Overview

Zoho Creator offers different chart types as page elements to represent data-driven insights on dashboards. Charts are specifically used to analyze trends, compare, and emphasize distributions based on the data stored in Creator forms. The chart gallery offers a variety of options, from the most sought-after bar charts to donut or funnel charts that are very effective for visualizing proportions and stages in a process.
Once a chart type is selected, you can also style the chart to match your application's branding. From customizing the chart’s color palette to setting a background color that aligns with your theme, you have full control over its appearance. You can also choose to display legends, the chart's key, in various positions within the chart. While being styled and configured, the chart can also be previewed simultaneously to understand how the chart properties will unfold in the live mode of the application.

1.1. Types of charts in Zoho Creator

The chart gallery comprises 16 different options that cater to the unique needs of different industries, all of which are discussed below.

Column



  1. Column - Displays data in vertical bars, making it easy to compare values across different categories.
    Example: Sales by region this quarter, monthly revenue comparison across products, product performance comparison in Q1
  1. Stacked column - Combines multiple data series in one column, allowing users to visualize the total and individual contributions of each category.
    Example: Product performance breakdown in Q1 by feature, quarterly revenue by department and region
  1. Stacked percentage column - Represents data as parts of a whole, showing how individual categories contribute to the total in percentage terms.
    Example: Percentage breakdown of market share by product, survey responses by age group and region
Bar


  1. Bar - Presents data horizontally, making it ideal for comparing different categories across a range of values.
    Example: Revenue comparison by product type, sales targets vs. actual performance, employee performance by department
  1. Stacked bar - Breaks down data into multiple segments within each bar, allowing users to visualize both total and individual category values.
    Example: Monthly sales by region and product category, annual revenue breakdown by department
  1. Stacked percentage bar - Shows data as percentages within each horizontal bar, providing a clear view of how each category contributes to the overall percentage.
    Example: Monthly budget allocation by department
Line
Displays data points connected by lines, helping users visualize trends and changes across categorized values. Ideally, line charts are majorly utilized to track data points over specific periods of time.
Example: Website traffic growth year-over-year, stock price movement over several months
Scatter
Displays data points on a two-dimensional axis, allowing users to identify correlations, patterns, and relationships between two variables.
Example: Age vs. income level distribution, advertising spend vs. sales growth, Height vs. weight correlation of individuals
Area

  1. Area - Represents quantitative data across categories or time periods, with the area between the axis and the line filled to illustrate the magnitude of values. It is particularly useful for visualizing the cumulative total of data over time and comparing multiple data series to identify trends and patterns.
    Example: Total revenue growth over time, website traffic trends during a campaign
  1. Stacked area - Displays multiple data series as layered areas, helping users visualize how different categories contribute to the total over time or across categories while highlighting the relative proportions. It is ideal for comparing cumulative changes in multiple data sets.
    Example: Website traffic by source (direct, referral, organic), revenue by region and department
Web


  1. Web - Displays data in a radial layout, allowing users to compare multiple categories in a circular format. survey results or performance metrics
    Example: Monthly key performance metrics overview
  1. Stacked web - Represents multiple data series in a radial layout, layering categories for easy comparison. performance breakdowns or product feature analysis.
    Example: Product ratings by feature and customer group
Pie



  1. Pie - Displays data as slices of a circular chart, making it easy to compare the proportions of different categories. It's ideal for showing how individual parts contribute to a whole, such as market share or survey results.
    Example: Monthly expense breakdown by category
  1. Donut - Represents data similar to a pie chart but with a central hole, providing a cleaner look.
    Example: Budget vs. actual spending for Q1
  1. Semi donut - Works as a variation of the donut chart with only half of the circle displayed, offering a unique way to present part-to-whole relationships. It's ideal for emphasizing data where you compare two categories side by side.
    Example: Employee retention rates by department
Funnel
Visualizes stages in a process, with data progressively narrowing from top to bottom. It's ideal for tracking metrics in sales pipelines or conversion funnels, helping users identify where drops occur in a sequential process.

1.3. Use cases

1. Stacked column chart to evaluate performance across school subjects - A school administration wants to evaluate student performance in their annual exams across subjects like Maths, English, Science, and Social Studies. To do this, a stacked column chart is configured based on a Mark Analysis form to visualize the pass-fail distribution for each subject. The major chart configuration is:
  1. X-axis: Subjects
  2. Y-axis: Count of total records
  3. Stack By: Status (Pass/Fail)
Each bar represents a subject, segmented to show how many students passed or failed. This provides a clear visual breakdown of performance across all subjects.
For deeper insights, a new live mode filter is enabled. This ensures that the chart can be filtered by class sections (e.g., Alpha, Bravo) in the live mode, helping the school identify which classes are underperforming in specific subjects.


2. Pie chart to analyze vehicle fleet usage - A Fleet Management application needs to understand the proportion of vehicle usage across different vehicle types (e.g., trucks, vans, cars) to optimize fleet operations and maintenance schedules. The company collects data on the total number of hours each vehicle type is used during a month. The data is organized by vehicle type and the total hours of usage for each type. To configure the pie chart, the vehicle types are listed as pie chart segments (x-axis values), and the proportion of total usage hours for each vehicle type is calculated as y-axis values. The pie chart visually displays how usage is distributed across different vehicle types, helping the fleet management team make data-driven decisions regarding fleet optimization and maintenance priorities.

1.4. Navigation guide

In the edit mode of the application, you can either create a page to land in its builder directly or navigate to an existing page and click Open Page Builder. Once inside the page builder, when Chart is clicked, a slider displays the different types of charts that can be created.

1.5. Chart configuration properties

The different chart configuration properties available while creating one are discussed below. They help make the chart extensive through features like drilldown, stacking, and more.
Chart Properties Description
Form The form whose data based on which the chart is to be configured. A dropdown lists all available forms in the current application. You can also choose a form from another application in the same Creator account by using the Change App feature in the dropdown.
X-axis
Category
(*mandatory)
The field based on which the x-axis is to be configured. You can choose from the fields in the selected form, whose inputs based on which the x-axis values will be displayed.
Notes
Note: All fields except Add Notes, AR, QR/Barcode, Auto Number, Signature, Video, Audio, Rich Text, Checkbox, Multi Select are supported for the x-axis configuration.
Group Date Values
(only if a Date field is chosen as Category)
If you've chosen the x-axis category as a Date field, you can group its field values to form a time range on the x-axis. The available options are:
  1. Actual (default value) - Refers to the data as entered in the form's field without any grouping
  2. Month & Year
  3. Quarter & Year
  4. Year
Label The name of the x-axis as it needs to be displayed in the live mode of the chart.
Y-axis Stack By (only if a stacked chart is chosen)
When configuring a stacked chart, y-axis values can be stacked based on a specific category. You can select a field to define how the values are grouped within each stack.

Note: For stacked charts, the Value type can only be Aggregate.
Value type
The y-axis can represent either:
  1. Aggregate data - A sum of specific numeric data values or a count of the logged input values for a specific field, will be displayed in the live mode.
  2. Actual data - The actual field input value from the records will be displayed in the live mode, as it has been logged by the user.
    Supported fields: Currency, Date, Date-Time, Decimal, number and date-based OCR, Number, Percent, number and date-based Prediction, and Integration fields
Aggregate values (If Aggregate is chosen as Value type)

The field based on which the y-axis is to be configured. Based on the chosen Value type, the y-axis values can be:
  1. A result of aggregation:
    1. Sum of field values - Currency, Decimal, Formula, number-based OCR, Number, Percent, number-based Prediction, Integration fields are supported.
    2. Count of records - All fields except Name, Address, Multi Select, Checkbox, Audio, Video, QR/Barcode, Add Notes are supported.
  2. Field values mentioned as they are in the record - Currency, Date, Date-Time, Decimal, number and date-based OCR, Number, Percent, number and date-based Prediction, and Integration fields are supported.
Label The name of the y-axis as it needs to be displayed in the live mode of the chart.
Interval

The y-axis values will be grouped based on the interval value.
Choose record data
The form data used to configure the chart can be either:
  1. All records captured in the form (chosen by default)
  2. Specific records filtered by criteria

A filter dropdown can be enabled to be displayed in the live mode of the chart. The dropdown will list the values of the fields' chosen here. The end user can select different field values and view a dynamic chart for further analysis.

Note: Only single select fields such as Radio, Dropdown, and Lookup can be selected to create the filter dropdowns.
Data Label


The y-axis metrics for the different chart sections can be permanently displayed in the live mode. This can either be a:
  1. Count of the records based on the selected field for the y-axis.
  1. Sum of the values of a NumberPercentCurrencyDecimalFormulaPrediction, or OCR field chosen for the y-axis.

Note:
  1. By default, Data Label will be disabled.
  2. If Data Label is disabled, the metrics can still be accessed when the sections are hovered upon.
Underlying Data

The list of records associated with a chart section can be displayed upon clicking a specific chart section.

Note: By default, Underlying Data will be disabled.
Report
(only if Underlying Data is enabled)
If Underlying Data is enabled, any list report of the chosen form can be selected to be displayed in the live mode.

Note: By default, the report that got generated during form creation will be selected.
Allow public access
(only if Underlying Data is enabled)
If the chart is placed on a published page, the report related to the underlying data will be displayed only if Allow public access is enabled for it. Upon enabling, non-Zoho users can view the published report from the live mode of this chart.

Note:
  1. Regardless of Allow public access being enabled, the report needs to first be published from the Operations module for it to appear on the published page.
  2. By default, Allow public access will be disabled.

2. Points to note

  1. Once a chart is configured, the chart type can be changed if required, from within its configuration pane.
  2. Stacked chart variations are only available for column, bar, area, and web charts.
