The transition section has three parts: Before, During, and After. The During part consists of actions to be performed when the transition occurs. In other words, when the transition owner carries out the transition.
The During transition allows you to perform one of the following options:
View and update fields of the same record.
Open another form and add a new record to it.
Let's consider a payroll reimbursement process in an organization. An employee raises a reimbursement request by submitting a form. The payroll team reviews the claim and approves or rejects it. When the payroll team reviews it, they might need to update certain fields such as claim status, approved amount, comments, or rejected reason during the transition. This can be achieved by the Update Fields option in During transition, where selected fields from the current form can be shown as a pop-up form when a transition is performed.
After the claim has been reviewed, it will be forwarded to the finance team to transfer the approved amount. When this transition happens, they can add a new record in another form called Bank Transfers by passing the values from the current form, such as the Employee ID, email, and approved amount. This can be achieved by the Open Form option in the During transition, where a different form can be shown during the transition and values can be passed to it from the current form.
Once a new transition is created, the Before, During, and After sections will be displayed. Learn more about how to create transitions.
Select the During section in the transition pane.
You can choose between three actions to be performed during the transition.
Select the required form name from the dropdown below.
Under the Preset Field Values section, you can map the values from the current form to the above selected form.
On the left side dropdown, choose the field from the above selected form. On the right side dropdown, choose the field from the current form. You can map multiple fields by clicking the Add icon , then passing their values according to your needs.
Let's assume you've created a Payroll Management application. There is a Reimbursement Request Details form, where users submit a reimbursement request and the payroll team views the record to review the claim.
Once the payroll team reviews the reimbursement details and selects the Review claim transition button, the 'during transition' is triggered, and a pop-up will be shown to update the required fields (from the Reimbursement form, which is the current form), where they can update the claim status, approved amount, and comments. Once the update is done, the record is transitioned to the next stage.
The next transition appears where the record needs to be forwarded to the finance team.
When this transition is performed, the 'during transition' is triggered and a form (Bank Transfers) appears to add a new record. It is also shown with prefilled values, as they are passed from the Reimbursement form.
These values can now be checked or edited if needed; other fields can also be filled, and a new record can be created. Once the form is submitted, the process transitions to the next stage.
When you switch between the Update fields and Open form options, any previously made configurations will not be retained.
All the workflows will be executed (if configured) for the respective triggers.
While submitting a During form, if both openURL and redirectURL tasks are configured in submission workflows or transition-after workflows, only the last task in the order will be executed, as the succeeding task always overrides the previous one.
Section, Notes, URL, Image, FileUpload, Signature, Audio, Video, Auto_Number, Formula, Users, Prediction, Keyword, Sentiment, ObjectDetection, OCR (Subform, Zia fields and System Fields are also not supported.)
When a stateless form is configured in an Open Form action, transition will be executed upon clicking the submit button in the form.
