Modules in this application
This comprehensive gym management application provides a user interface with separate modules that allows you to store client details, schedule and manage their training classes, provide health updates, and much more.
Admin module
This module can be accessed only by admins and super-admins.
This module allows you to perform admin-related actions, such as storing your gym details like name and location. You can also store all of your staff details, the available classes, membership packages, and member attendance for that day. This enables you to have your staff's contact information at your fingertips. After adding your staff, the application will be shared with them, with restricted permissions as configured, so they can add and assign workouts.
The dashboard inside this module helps you to track the number of members in various classes and analyze the busiest times of the day to manage your trainers' schedules more efficiently.
Members module
This module can only be accessed by admins and super admin.
In this module, you can capture and store member related details that include their membership package, trainer, payment details and their training classes. You can either add a member to class or archive them in the Trainees report. You will be able to view existing members, members who have dropped out, and member details in the respective report.
Trainers module
This module can only be accessed by super admin, admins, and trainers.
This module serves as a unified database to your trainers for all the workouts assigned to members or classes as a whole. You can track the number of members in various classes and analyze the busiest times of the day to manage your trainers' schedules more efficiently. The Assign Workouts form can be used to capture the workout and class routines assigned to the trainees in the gym. You can also store details of workouts assigned to members and classes in separate forms. The trainers can view their assignments, the classes, and the members who they are assigned to train.
Trainees module
This module can only be accessed by super admin, admins, and trainees.
This module is designed to help trainees view all their details in one place. They can view the following and also enter their daily attendance in the Check In/Check Out form.
- A customized portal to view their profile details
- Reports that display the following data:
- Daily fitness classes
- Today's workouts
- Current workouts
- Daily attendance
- Membership payment history
Health Updates module
This module can only be accessed by super admin, admins, and trainees.
Using this module, you can store health details of your clients, such as their height and weight, and provide them with regular fitness notifications. You can analyze your clients' training progress over a period, suggest suitable training, and help them focus on their fitness goals. Clients/trainees can access their health updates in the My Health Updates report.
Member Payments module
This module can only be accessed by super admin, admins, and trainees.
This module lets you simplify and secure your entire billing process, and get payments on time. You can send automated reminders to ensure members pay promptly, and get notified if anyone misses a payment. The reporting feature also lets you keep track of your finances and business performance to manage your gym efficiently. You can view a complete list of members' whose payment is pending, as well as monitor the entire payment history. Trainees can view their list of payments in the My Payment History report.
Install the application
You can install the app from three locations:
- Zoho Creator App Deck
- Zoho Marketplace
- App Gallery
Installing the application from Zoho Marketplace is easy. Once you install it, the app will be set up and ready to use. You can explore the modules in the app, tweak the app to accommodate use cases specific to your business, and add, modify, and view data.
You can also add users and define roles and permissions, such as add, modify, delete, and view data, and map users to the permissions defined, allowing them limited or full access to your app.
- Go to Zoho Marketplace.
- Scroll down to the Zoho Creator section and click View All.
- Select the Gym Management card, and click Install.
The application will be installed on your device and you'll be ready to go!
Application setup
This application makes the process of managing your gym’s entire client cycle, from member signups to membership contract renewal and payment processing, a seamless experience. Opening new training sessions, monitoring staff availability, rescheduling classes—everything can be done with our simple drag and drop interface. After
installing the application, the super admin or admins can perform the following actions:
Step 1: Navigate to the Admin section.
1. Access the Gym Details form and enter the details of your gym.
2. Access the Add Staff/Trainer form and add your trainers' details. This application will then be shared with your trainers with restricted access.
3. Access the Add Membership form and add details of the monthly or yearly membership packages you offer.
4. Access the Add Class form and create training classes by entering the trainer's name and assigning the respective trainees.
Note: In this module, you can view and track your trainees' attendance in the Today Attendance report.
Step 2: Navigate to the Members section. - Access the Add Trainee form and enter your clients' (trainees) basic and contact details, as well as membership package chosen, and assign them to a trainer, class, or both.
- View all of your clients' details in the Trainees report, where you can add a client to a training class or archive them. The archived trainees list can be viewed in the Dropped Trainees report.
- You can also view your details of your members categorized as cards in the Member Details kanban report.
- Access the Health Updates form, select the required member, and add their health details, such as their height and weight.
As an admin, you can view the health related details of all your trainees in the All Health Updates report. Trainees can view their respective health details in the My Health Updates report.
- Access the Payment Form, select the member, enter the amount and choose the payment status - Waiting or Paid.
- View the list of members whose payment is pending in the Awaiting Payments report. You can click the Paid button once those members have completed their payments.
App admins/super admins and trainees can view the list of payments completed in the Payment History report.
Your app is now all set for use!
Automation
This application incorporates automations to make your process smooth and seamless. It houses workflows to hide/show and enable/disable certain fields in the forms, automatic update of payment status, trigger payment reminder notifications to members, scheduled emails for payment reminders, and check-in and check-out time buttons that automatically input time.
Sharing your app
You can share this app with
users at your organization, defining
roles and
permissions so that users with specific roles have specific levels of access to the components of the app.

1. Navigate to
Solutions and click the
Gym Management application.
2. Hover over the card and click the ellipsis icon (three dots).
3. Click Delete.
