Sync with Google Contacts
This feature is for the Google Users.
Google Apps users can refer to Zoho CRM for G Suite Users
Keeping up-to-date contacts in both Zoho CRM and Google Contacts is now made easy with the Contacts Synchronization feature. It helps you to configure one-way or two-way sync schedules that will automatically sync contact details. Also, you can specify the list to which the contacts should be transferred and map fields as required. Please note that if you delete the sync configurations and again synchronize the contacts, then duplicate records will not be created based on the email address that is mapped.
Availability
Permission Required
Users with the Sync with Google Contacts permission can access this feature.
Note:
- You should also have the profile permissions for Sync with Google Contacts and the Contacts tab, i.e. View, Create, Edit and Delete permissions.
- Users with View profile permission for Sync with Google Contacts and the Contacts tab can enable one-way sync from CRM to Google Contacts.
Contact Sync is a 3 step process. First, log in to Zoho CRM and go to Marketplace > Google and Log into your google account.
Step 1
- Choose the module to sync with Google. Three modules will be listed in the drop-down : Contacts, Leads and Vendors.
- Choose one of the Sync Options.
- 2 Way Sync
- 1-Way: Zoho CRM Contacts to Google Contacts
- 1-Way: Google Contacts to Zoho CRM Contacts
- Select one of the following option when there is a conflict in contacts in both the places.
- Zoho CRM contact will overwrite the Google contact
- Google contact will overwrite the Zoho CRM contact
- Choose the synchronization Frequency from the drop-down list.
- Click Next.

Step 2
- Map the fields in Google and Zoho CRM.
- Click the Map More Fields link, to add more fields and map them.
- At the bottom, under Select additional fields to sync with Google, you can select custom fields from the drop-down to sync with Google.
- Click Next.

Step 3
- Enter the default value for the Last name field and all mandatory fields. Click Add Fields to add default values for optional fields. Select the field and enter the value.
- Click Save.

Note : We will now allow partially-active syncs because of Google's limitations on the number of records that can be synced. Since Google only provides 25000 for any sync process, once this limit is reached, we will stop pushing records from Zoho CRM to Google.
Note:
- The synchronization of contacts from Zoho CRM to Google and vice versa will take a while to complete based on the number of contacts. We request you to wait for a few minutes and then check if the contacts have been synchronized.
- Please note that if you delete the sync configurations and again synchronize the contacts, then duplicate records will not be created based on the email address that is mapped.
- Check the Last Sync Time in the Contacts Synchronization page to see if the sync was performed.
- Based on the roles and access privileges, the contacts will be synchronized.
- First time you can synchronize maximum 10,000 contacts. For the consecutive syncs, maximum 500 contacts will be synchronized.
- The criteria to search duplicate records are based on the Email field value (primary email field in contacts) in Zoho CRM and Email (Work) field value in Google Contacts.
Sync another module
- Log in to Zoho CRM.
- In Zoho CRM, go to Marketplace > Google > Contacts.
- In the Sync Summary page, the account synced will be displayed. Click the Sync Another Module link.

- In step 1, choose another module and follow the same instructions above for the remaining steps. By default, the module already synced will not be listed.

- Log in to Zoho CRM.
- In Zoho CRM, go to Marketplace > Google > Contacts.
- In the Contacts Synchronization page, click the Disable button.

You can revoke the Google authentication from https://accounts.google.com/
Old Flow : Sync Settings for Existing users
We've updated the sync flow with Google to make things simpler and to give users more control over what data flows into Google and ensure that this data flows effortlessly between Zoho CRM and Google.
For Existing users : Your current sync settings will remain unchanged. However, if your existing sync is disabled and when you re-enable contact sync later, you will be redirected to the new flow.
Existing users can open the tab below to read the instructions [old flow] to sync your Zoho CRM account with Google.
To configure synchronization settings
- Log in to Zoho CRM.
- In Zoho CRM, go to Setup > Marketplace > Google > Contacts.
- In the Contacts Synchronization page, do the following:
Choose the Google Contact list and the Zoho CRM Contacts list from the drop-down.
The contacts from the selected lists will be synchronized.
Choose one of the Sync Options.
- 2 Way Sync
- 1-Way: Zoho CRM Contacts to Google Contacts
- 1-Way: Google Contacts to Zoho CRM Contacts
Select one of the following option when there is a conflict in contacts in both the places.
- Zoho CRM contact will overwrite the Google contact
- Google contact will overwrite the Zoho CRM contact
- Choose the synchronization Frequency from the drop--down list.
- Map the fields in Google and Zoho CRM.
- Click the Map More Fields link, to add more field and map them.

- Click Save.
Note:- The synchronization of contacts from Zoho CRM to Google and vice versa will take a while to complete based on the number of contacts. We request you to wait for a few minutes and then check if the contacts have been synchronized.

- Note that only the contacts of the selected Google Group and the selected Zoho CRM List View will be synchronized. The contacts from CRM will be added in the specified Google Group.

- In Zoho CRM, go to Setup >Marketplace>Google > Contacts.
- In the Contacts Synchronization page, click the Deactivate link.
