Record sharing in Zoho CRM Android app
For any business to deliver an excellent customer experience, teams need to collaborate effectively. In sales, this collaboration often involves sharing customer records with team members who need this information to follow up with clients, move deals forward, or provide timely support.
Types of record sharing
- Share URL: Share a record via a link to external applications.
- Share Record:
Public sharing: Share a record with the entire organization.
Private sharing: Share a record with specific members only.
To share a record via URL
- Open the record you want to share.
- Tap the More icon (
) > Share > Share URL.
- Choose the platform or app where you want to share the URL.
To share a record within org users
- Open the record you want to share.
- Tap the More icon (
) > Share > Share Record. - Choose the access type: Public or Private.
- If Public: Set permissions as Full Access, Read & Write, or Read Only.
- If Private: Select the users, roles, or groups you want to share the record with and set permission. - Optionally, toggle to share the related list or notify the shared members.
Note: Only profiles with sharing permission enabled can share the record.
To manage record sharing
- Go to the shared record.
- Tap the More icon (
) > Share > Share Record > More icon (
) > Manage Sharing. - Edit sharing preferences as needed:
- Choose record permission type.
- Add or remove the related list.
- Set access type to public or private.
- Add or remove members.
To revoke record sharing
- Go to the shared record.
- Tap the More icon (
) > Share.
- Choose Record, then tap the More icon (
).
- Tap Revoke Sharing.
