Webinar integration in Sandbox

Zoho Webinars has been a versatile piece of webinar software for hosting online webinars, giving users the path to conduct and attend presentations and demos without having to download any application.

In addition to integrating this webinar tool with Zoho CRM, Zoho Webinars can also be setup and managed in CRM Sandboxes. Sandboxes offer a safe way to replicate production accounts, allowing for risk-free testing, training, and refining processes before making actual changes.

Users with the Admin profile can:
  1. Integrate a Sandbox account with Zoho Webinar
  2. Deploy this integration to the production account

To add the Zoho Webinar integration to Sandbox

  1. Navigate to Setup > Data Administration > Sandbox.
  2. Click the sandbox where you want the integration.

  3. Click the Go to Sandbox button.

  4. In the sandbox, navigate to Setup > Marketplace > Zoho.
  5. Go to Zoho Webinar and click Setup now.
  6. Click Enable.
  7. You can make the following configurations: add Zoho CRM users, add a webinar reminder, push registrants to the desired module, and sync Zoho Webinar service statuses to CRM fields by setting member status.


Post-integration

After making the integration and configuration of the Zoho Webinar account in your Sandbox. Create a Zoho Webinar in Campaigns inside the Sandbox, after which a registration URL will be generated. You can use it for testing and training purposes on how the made configurations work, how to invite potential registrants, generate reports, create polls, etc.

Create a Zoho Webinar inside the Sandbox, after which a registration URL will be generated. You can use it for testing and training purposes on how the made configurations work, how to invite potential registrants, generate reports, create polls, etc.
Find the registration URL in the Overview under the Campaign record. To launch the webinar, click Launch Webinar in the top panel.

Deploy Zoho Webinar integration from Sandbox to Production

  1. Navigate to Setup ⛭ > Data Administration > Sandbox.
  2. Click on the sandbox from which you want to deploy the integration.
  3. In the Change Set List, select Zoho Webinar under Components & Item.

  4. Click the Deploy Changes to Production button.
  5. In the Are you sure you want to proceed with the deployment? popup, click Yes, Proceed.

  6. In the Start Deployment popup, check for conflicts under Dependency check results. If there are no conflicts, click Yes, Proceed.

  7. If you find any conflicts under Dependency check results, click View More to know what conflicts the deployment, and make the respective changes to qualify the deployment.

Possible Conflicts during deployment:

  1. If a webinar integration is already enabled in the production account, deployment from Sandbox is not allowed
    Resolution: Deactivate the Webinar integration in your production account by choosing Delete data permanently, then deploy.
  2. If the webinar integration owner's profile has been deactivated in production, deployment is not allowed
    Resolution: You can either rebuild the sandbox or delete it and create a new one.
  3. If the webinar integration owner's profile has been changed to a Standard user in production, deployment is not allowed
    Resolution: Change their profile to Administrator and then deploy. You can also rebuild the sandbox or delete it and create a new one.
  4. If the Webinar integration is made by a user who was added as a developer in Sandbox, deployment is not allowed
    Resolution: You can also rebuild the sandbox or delete it and create a new one.

To remove the Zoho Webinar integration from a sandbox

  1. Navigate to Setup > Data Administration > Sandbox.
  2. Click the sandbox for which you want to remove the integration.
  3. Click the Go to Sandbox button.
  4. In the sandbox, navigate to Setup > Marketplace > Zoho
  5. Go to Zoho Webinar and click Manage
  6. Click Disable.

  7. In the popup that appears, select one of the following options:
    1. Retain data: Campaigns created using Webinar will be retained. The integration will be disabled in this case and can be enabled again.
    2. Delete data permanently: All Campaigns will be moved to offline campaigns. The integration will be removed completely. You'll have to set it up all over again if you want to use it.

  8. Click I Understand, Disable Now.

Points to remember:
  1. You are using webinar integration fields in other places in the sandbox. For example, if you've configured a workflow rule or blueprint using fields created by the webinar integration and do not include this configuration in the deployment, a conflict will occur. This is because the webinar integration and its related fields are removed from the sandbox once the integration is deployed. However, the dependent configuration remains and cannot function without those fields, resulting in a deployment conflict.
  2. After deploying the integration, changes related to it made inside the sandbox cannot be deployed in the production account.

  3. Rebuilding a sandbox will remove the integration from that sandbox.
  4. Deactivating a sandbox will not remove the integration from that sandbox.
  5. Deleting a sandbox will remove the integration from that sandbox.

Note:

Since you can only integrate a Zoho Webinar account with one CRM account (production or sandbox), please note the following points:
  1. An existing Zoho Webinar integration in the production account will not be copied to the sandbox during sandbox creation or rebuild. Use the sandbox to test out a fresh Zoho Webinar integration.
  2. After the integration has been deployed to production, the data generated from the integration in the Sandbox account will not be transferred to production and will remain intact.
  3. Though Sandbox is a testing account, any changes made inside the Sandbox account with respect to the integrated account will be reflected in your live Zoho Webinar account
  4. In Sandbox, when you try sending a webinar invite via emails, the actual emails will not be sent. However, the "sent" email will still be available as history under Emails in the Related List of the record
  5. To add your Zoho Webinar account to a sandbox, if that account is already integrated to the production account:
    1. Deactivate the existing Webinar account from the production account.
    2. Add the Webinar account, provided the Webinar account is not mapped to another sandbox or production account.
