When a business project increases in size or your team grows, there will be a substantial amount of things for you to manage as a team lead or a manager. The Kanban Board extension for Zoho CRM provides an organized way to keep track of all the required activities, tasks, and data within Zoho CRM. It visualizes the big picture for you so you can invest your time and effort in driving sales—not tracking where each deal is in the pipeline or how many tasks your team has pending.
The extension lets you create multiple boards based on a module's list view or ownership of records. Based on the fields you select from a dropdown list, it segregates the data into columns for a streamlined overview. You can create Kanban boards for both standard and custom modules. Additionally, when you are using extensions, such as that for Zendesk or SurveyMonkey, you can create a board for the data from the third-party software as well.
Note: Please note that the Kanban Board extension for Zoho CRM is available in US, IN, AU, CA, SA, and JP datacenters.
Installing the extension
You can either go to the Zoho Marketplace and install the Kanban Board extension or log in to your Zoho CRM account and install the extension. Upon installation, the extension will be available for all users in the Zoho CRM's organization account. All users can access the Kanban Board tab and create boards.
To install the extension
Navigate to Setup > Marketplace > All.
Under All Extensions, browse for and click Kanban Board.
The details about the extension will be available.
Click Install.
Agree to the terms of service and click Install.
In the following screen, confirm the login user, agree to the terms of service, and click Continue to Install.
Choose one of the following, then click Confirm:
Install for admins only - The extension will only be installed in CRM for users with administrator profiles.
Install for all users - The extension will be installed in CRM for all users.
Choose profiles - The extension will be installed in CRM for manually chosen users. Choose this option, click Confirm, then select the desired profiles.
Create a new Kanban board
You can create Kanban boards for any module and group the columns by picklist fields. For example, a board for all the leads that were gathered in a trade show and the follow-up status of the leads. The brief information about each record that is displayed in the Board can also be customized and selected as per your requirements.
From a board, you can do the following:
Create a record - You can create a record for the same module based on which the board is created.
Move records to another column - This means you can simply drag and drop a record and update the field value. The record gets updated based on the column you move it to.
Delete a record - By clicking on the delete icon, the record will be deleted.
View a record's details - Access the full details of a record by clicking on it.
To create a Kanban board
Click the Kanban Board module.
Select the drop-down list and click Create Kanban Board.
In the pop-up box, do the following:
Enter a Board Name.
From the drop-down list, select the Module for which you need to create a board.
Custom modules will also be listed here.
Select a picklist fields from the Group By drop-down list.
All the picklist fields from the selected module will be listed.
Click the Edit Card Color Settings option and choose the desired color for the column. If no color is chosen, the default color will be retained.
Select the corresponding checkbox if you want to Make Kanban Board visible to everyone.
Under Filter By, choose Records or List View. Based on your selection, records will be displayed in the Kanban Board.
For Deals and Tasks modules, you will be provided with Sort By option.
Select the Card Title, Card Name, and Card Tags. These are the values displayed in the record's summary in the Kanban Board.
Click Save.
Note: For existing users, the default colors will be applied to all the boards upon updating the extension to the latest version. Users can change the colors using the Edit Card Color Settings option. Edit or delete a Kanban board
From the list of Kanban boards, you can select one to view and edit it too.
To edit or delete a Kanban board
Click the Kanban Board module.
Select a board from the drop-down list.
In the pop-up box, make the necessary changes and click Save.
To delete, click on the Delete button.
Uninstall the extension
When you wish to uninstall the extension, please note that all the boards will be deleted along with the Kanban Board tab.
To uninstall the extension
Navigate to Setup > Marketplace > All.
All the installed extensions will be listed. Under All Extensions, you can view all the extensions supported in CRM.
Browse for Kanban Board and click the corresponding Uninstall link.
Click Ok to confirm.
