FAQs: Territory Management

Can a user be part of more than one territory?

Yes. A user can be a part of more than one territory.

Can I disable Territory Management?

Yes. Users with administrator profile can disable territory management feature for the organization account. On disabling this feature the following will not be accessible:
  • All the information related to territories in the Accounts, Contacts and Leads modules.
  • All the existing forecasts which is based on territory hierarchy. You will be required to create forecasts based on role hierarchy.
  • The territory options that cannot be applied in report's criteria.

Can I manually assign records to territories?

Yes. Territory managers can manually assign records to their territories. Users with the Administrator profile can also assign territories to records. Records that are manually assigned can only be removed manually by the territory managers.

How are records assigned to territories?

Records are assigned to the territories in two ways:

  • Automatically - Records that meet the rule criteria in the territory will be automatically assigned to the territory. This is applied when records are created or edited. Contacts and potentials are also assigned to the territory to which the associated account is assigned. See Also Assign Territories
  • Manually - Territory managers can assign records to their territories and sub territories.
Accounts and Contacts can be assigned to a maximum of ten territories, while a deal can be assigned to only one.

What are the modules that territories can be setup for?

Territories can be setup for the Accounts, Contacts and Deals modules. When territory management is enabled, these records will have a new field named Territories. Also, there will be a list view for territories in the Home page of these modules to filter and view records that belong to a selected territory.

What if a territory is not assigned with a manager?

The parent territory's manager will administer the territory which does not have a manager.

What will happen if I delete a territory?

If you delete a territory:
  • You cannot recover the territory details.
  • If it has sub territories, you will be asked to transfer them to another parent territory in the hierarchy.
  • The territory details will be available for the previous and current forecast cycle only.

Who can activate territory management?

Users with the administrator profile can activate or deactivate territory management.

Who can create territories?

Users with the Administrator profile can create territories. Territory Managers can also create sub territories for their own territories.

Who is a territory manager?

A territory manager in Zoho CRM is a user who manages a territory and its sub territories. The territory manager can perform the following actions for territories:
  • Manage territories and its sub territories.
  • Set forecast targets for users in the territories.
  • Providing permissions for the users in the territory.
  • Manually assign records to the territories. Also, remove the records that were manually assigned.

Is it possible to set up data sharing rules based on certain conditions in the fields within a module? I would like to set up a condition based on the country field and apply certain sharing rules when the country is Canada, for instance. Is this possible?

You can apply Territory Management to the Accounts, Contacts and Deals modules and set up these dynamic data sharing rules.
