1. What is a Kanban view and what are its benefits?

The Kanban view is a card-based view that displays records in different categories. The user can choose the criteria for the categories. For example, customers can be segregated based on the industry they belong to or the type of product they want to purchase. Similarly, deals can be organized based on their stage to give an idea of their progress, which stages experience bottlenecks, and how much revenue is expected to be generated.

A Kanban view allows you to organize the data in a way that is easily comprehensible to every team member and gives you important insights about the records. 

2. Can I perform bulk operations in Kanban View?

Yes, you can perform the following bulk operations:
  1. Sending mass emails
  2. Creating tasks
  3. Creating macros
  4. Deleting records
  5. Changing owner
  6. Mass updating a field
  7. Mass conversion

 To perform a mass operation, select multiple records, click the More icon, and select the desired operation.

3. How is Kanban view different from the Kanban Board extension?

Kanban view is a built-in option to customize the way records are displayed in a module. It is available for all editions of Zoho CRM.

Kanban Board is an extension developed by Zoho Corporation that is available in Zoho Marketplace. It allows you to create boards for data obtained from third-party applications.

This extension can be downloaded by going to Setup > Marketplace > All and searching for"Kanban Board".

4. What does the Unaccounted column in the Kanban view mean?

The records that don't have a value in the picklist field that is selected to categorize the Kanban view will be listed in the Unaccounted column. This can also happen if the picklist value for a record is changed to "None".

For example: If the value "Advertisement' in the Lead Source pick list field is deleted or replaced with "None", the record will automatically appear in the Unaccounted column.

5. I cannot find the option to select Kanban View in some modules. Why is this?

Two possible reasons are:
  1. There are no picklist fields in the module.
  2. You don't have the permission to manage Module Customization in your profile. Contact your Administrator to request the permission.

6. What do the Categorize by and Aggregate by mean in the Kanban view settings?

I. The Categorize option allows you to segregate records into different groups for easy understanding. For example, categorizing deals by their stage or leads by their industry.
II. The Aggregate by option allows you to select any number field to view the aggregate value of the records. For example, the aggregate revenue or total cost per conversion. 


7. What are the predefined and customizable Kanban views?

There are two types of Kanban views:
  1. Predefined: Predefined kanban views are available for the Social, Visits, Deals, and SalesInbox modules and are available in all editions.
  2. Customizable: You can create a Kanban view for other modules. You will need to define the following properties:
    1. Kanban View name: You can enter any name for the Kanban view, for example, "Lead Details".
    2. Categorize by: Select the category you want to segregate the data by, for example "Lead Status".
    3. Aggregate by: Select what you want the aggregated value to be based on. For example "Expected revenue, cost per conversion, cost per click". The total value for each category will be displayed.
    4. Select Fields: Select the fields that you want to view from each record.
    5. Header style: Choose mono color or other colors for the headers. 

8. How do I segregate leads using the Kanban view and how can I customize the view?

Kanban view segregates records based on a picklist value. For example, if you get leads from different sources and have added Lead Source as a picklist field in the module, you can select this field so that the leads are categorized based on their source.

To customize the view:
  1. Go to any module in Zoho CRM.
  2. Select the Kanban View icon in the module list view.
  3. Select the desired picklist in the Categorize By option in the Kanban View Settings

9. Do I have to change the category of the records manually?

No, you can drag and drop the records from one column to another. Each record is displayed as a card which can be dragged to the desired category.
For example, a lead that is in the Attempted to Contact category can be moved to Lost Lead if the rep fails to contact them. There is no need to edit the record to change the status. If a record contains a value for estimated deal revenue, it will be adjusted automatically when you move the lead to another category.
