Picklist fields provide a predefined set of values for users to select from. This ensures consistent and standardized data entry across the system. It also enables grouping and filtering of similar records.
For example, in the Tickets module, Priority is a picklist field with values such as “High,” “Medium,” and “Low.” Users can filter tickets based on these values to quickly identify records that require urgent attention.
   
Using colors to differentiate values provides greater benefits for users.
  1. Efficient ticket prioritization - Improved visual representation makes it easier to identify issues, enabling teams to prioritize critical tickets more effectively. For example, differentiating issue types and severity of issues help agents to identify the time sensitive, crucial issues and give them immediate attention. They can save time by identifying the tickets with the help of colors instead of reading through the details.  

  2. Easier to group data - Using colors to organize information makes data easier to understand and manage. It reduces confusion and helps users stay organized. For example, viewing the inventory stock levels in a color-coded approach is easier to understand because of the distinct colors.

  3. Quicker decision-making - When handling a large number of tickets, color coding helps agents instantly recognize issue types. This saves time and allows tickets to be assigned to the right team faster.

Creating a color picklist field  

Colour coding can be used for picklist and multi-select picklist fields. It can be applied to both standard and custom modules. The color picklist field is organization-specific. Once it is configured, it will be visible to all users in the organization.


There are two ways in which colors can be added to the picklist values:


Points to remember

  1. The Ticket status picklist field cannot be colored.
  2. A maximum of 100 values in a picklist field can be colored.
  3. By default, 12 predefined colors are provided.
  4. For the Professional edition, a maximum of 5 colored picklist per module can be added to an organization.
  5. For the Enterprise edition, a maximum of 10 colored picklist per module can be added to an organization.
  6. Values of a nested picklist field cannot be colored. Also, this field cannot be changed into a colored picklist field.
  7. The Color picklist field is not supported for Products and Analytics modules.

To create a color picklist field

  1. Go to Setup > Customization > Layouts and Fields.
  2. Select the desired Module and Department from the dropdown.
  3. Choose a layout.
  4. In the right pane, drag and drop the Color PickList field from the Add Field tray.
  5. In the Color PickList window, do the following:
    1. Enter the layout name.
    2. Add the picklist values and set color.
    3. Enable the encrypt field, mark as required and show tooltip options, if required.
    4. Choose the desired help center access permission.
  6. Click Add.
  7. Click Save & Close.


To delete a color picklist field

  1. Go to Setup > Customization > Layouts and Fields.
  2. Select the desired Module and Department from the dropdown.
  3. Choose a layout.
  4. Click the setup icon in the existing color picklist field.
  5. Select Remove Field
    The color picklist field will be moved to the
    Unused Fields tray.
  6. Open the Unused Fields tray, select the color picklist field, and click the delete icon.


Converting a picklist field to a color picklist field

Users can convert an existing picklist field into a color picklist. The colored values are reflected wherever they were used previously (except Products and Analytics modules). However, the following points must be considered:

  • If the picklist field has more than 100 values, conversion to a color picklist is not possible.
  • If a picklist field already has a nested picklist option enabled, it cannot be converted into a color picklist field.

To convert an existing picklist field to color picklist

  1. Go to Setup > Customization > Layouts and Fields.
  2. Select the desired Module and Department from the dropdown.
  3. Choose a layout.
  4. Choose an existing picklist field.
  5. Click the setup icon next to the field.
  6. In the edit picklist field window, select Color Coded as the Picklist type from the dropdown.
    Add color-coded values and save the changes.



Viewing colored picklist values 

Color picklist values can be visible in both the list and detail views across various modules. Here are a few examples showing color-coded picklists in different modules.

  • Table and detail views in the Tickets module.



  • Detail view in the Customers module.



  • Table and detail views in the custom module.



Adjusting colors for user accessibility controls 

The color saturation can be optimized to —Bold, Subtle, or Minimal—to suit user's preference. It enhances the user experience for those with visual disabilities.

To customize the field values coloring

  1. Navigate to User Profile > Preferences > Accessibility Controls.
  2. In the Learning section, select the desired style for colored picklist values. 
    Users can choose from Bold, Subtle, and Minimal.
