The knowledge base articles are identified by the permalink or URL that is auto-generated when they are published. The URL comprises the category name, sub-category names, and the article title.
A URL can change overtime due to updates, edits, or various other modifications to the content. It's important to edit the permalink accordingly to resonate with the contents of the article.
For example, if you include compliance guidelines in an article that talks about the company's privacy and security, it's essential that the term "compliance" or a related term is included in the permalink.
To accommodate such cases, the permalink of the article must be edited, and the new URL should be redirected to the old URL using the 301 redirection option.
Some instances when the permalink needs to be edited and redirected:
- Combining content from multiple articles - An article is revamped by merging content from two or three articles into one, and you want to rename the article's title to reflect the new content better and to make the redirection effortless.
- Permalink with date appended - If there is more than one article with the same permalink or article title, then the system automatically appends the date to the most recent or newly created article's URL.
- Change in article title - If you update an article with new content, renaming the article title would be helpful to keep the title in sync with the existing content. It also helps in improving the search engine optimization.

Points to remember
When you edit the permalink of an article, you must set up 301 redirections from the old permalink to the new permalink.
Failing to do so will result in one or all of the following:
- The existing links of the updated article in the Knowledge base module won’t be updated and may no longer work.
- Any external links to the updated article will display a 404 Not Found error.
- Search engines accessing the old URLs will encounter 404 errors, which can negatively impact the search rankings.
Availability
- Users with article Edit permission can edit their article permalink.
- Users with article Edit All permission can edit all the permalinks.
- You can redirect a maximum of three URLs using 301 redirection.
How to avoid dates being added to the permalink
Assume that you update an article on December 13th, but there is more than one article with the same title. The permalink of the recently updated article gets appended with the date it was updated.

Once the date is appended, an alert is displayed that there is another article with the same name.
The system appends the date in order to differentiate between the duplicate articles under a category including drafts, unpublished, published, expired, deleted, and the recycle bin.
In this case, the user must check the list of available articles to verify that there are no other articles with the same title. If there is another article with the same title, even in the recycle bin, it must be deleted or renamed. Only then can the date from the URL be deleted.
To update and redirect an article
- Edit an article in the Knowledge Base module, modify the permalink, then click Edit.

Note:
The permalink can be edited and saved multiple times. However, you can save and add 301 redirection a maximum of three times.
As you save and add 301 redirection, the links are listed on the Update Permalink page. If an article has been redirected three times, you need to remove an existing redirection before setting up a fourth one.
Adding new 301 Redirection
When you merge two or more articles into one, the old articles become outdated and should be deleted.
However, if customers have the link to the deleted articles, they will get an error. To avoid this, you can set up the redirection from the old articles to the new article.
To add a new 301 redirection
- Navigate to the Knowledge Base module.
- Open the article you want to add 301 redirection and click the Edit icon.
To delete a redirection
- Navigate to the Knowledge Base module.
- Open an article for which you want to delete the 301 redirection.
