Domain Sync between Zoho Directory and Zoho Services

When you verify a domain's email authentication records (such as DKIM and SPF) or add and verify a sender email in Zoho Directory, the domain gets synced across all the applications associated with your Zoho Directory organization. Once the domain and email are verified in Zoho Directory, the system automatically skips additional verification steps (like OTP verification and domain record validation) in individual apps, saving you time and reducing repetitive tasks.

Syncing with Zoho Directory: Only one-way sync is possible. If a domain is verified in Zoho Directory, the verification records can be pulled into the associated services when added there. Similarly, if a DKIM/SPF record is verified directly within a Zoho service, it will also be synced to Zoho Directory. Any updates done in Zoho Directory don’t sync back to the individual services unless these services are already synced with Zoho Directory and also associated with the domain. Thus the verification process is centralized, reducing the need for repetitive configurations across apps.

DOMAIN - EMAIL COUPLING

The relationship between a domain and a sender email varies across Zoho apps. Some apps treat the email and domain as coupled (linked/dependent), while others treat them as uncoupled (independent).

Coupled (Linked):

Changes to the domain and email are interdependent and linked.

Example: Zoho Campaigns - You can delete a domain only if there’s no sender email associated with it. If a sender email is linked to the domain, you must delete the sender email first.

Uncoupled (Independent):

The domain and email are independent. You can modify or delete one of them without impacting the other.

Example: Zoho Analytics - You can use any email as the sender email, and it won’t affect the domain settings. They are treated separately.

Domain will be synced from Zoho Directory to CRM only if there's any user email or organization email associated with that domain.
Sender email configured in Zoho Directory can't be used as sender email in CRM, because CRM only allows organization email or user email to be used as a sender email there.

Zoho Forms
Uncoupled
Sender email doesn’t sync from Zoho Directory. This is because another user's email is only allowed to be used as the sender email in Forms.
Zoho Assist
Uncoupled
Only one sender email is allowed. If none is set in Assist already, the email verified from Zoho Directory gets synced. If a sender email is already set in Assist, it won't be overridden.
Zoho Analytics
Uncoupled
Use any email as the sender; Sender email already verified in Zoho Directory won't require verification again when it's used in Analytics.
Zoho Projects
Coupled
Only one domain and email can be used. No new domain or email from Zoho Directory will get synced. Both sender email and domain records will be synced to Projects when the domain is already verified in Zoho Directory.
Zoho Campaigns
Coupled

Sender email is a prerequisite for domain addition. Both domain and sender email must be verified in Zoho Directory to sync. Sender email will sync only if it is verified.
Zoho Marketing Automation
Coupled
Same as Campaigns; both domain and sender email must be verified.
