Triggers and actions in Zoho Flow

Triggers

Record created or updated

Use this trigger to start a flow whenever a record is created or modified in a selected Microsoft Dynamics 365 Business Central entity.

Points to note

  • Only entities that expose the lastModifiedDateTime field are available for this trigger. Entities such as Default Dimensions, Sales Invoice Lines, and Balance Sheets are not available as they do not expose this field.

  • To include data from related entities in the trigger response, select the required entities from the Expand related entities field. For example, if you select Sales Orders, you can include related entities such as Sales Order Lines or Customer.

InfoIf more than 100 records are created or updated during a polling interval, Zoho Flow processes the first 100 records in the current polling cycle. The remaining records are processed in subsequent polling cycles.

Actions

Create record

Use this action to create a new record in a selected Microsoft Dynamics 365 Business Central entity.

Points to note

  • The fields displayed depend on the selected entity.

  • Some fields require the GUID of a related Business Central record. Ensure you provide a valid GUID for reference fields such as Vendor ID, Currency ID, or Order ID.

  • Not all displayed fields are mandatory. If a required value is not provided, the request fails and Business Central returns an error.

Update record

Use this action to update an existing record in a selected Microsoft Dynamics 365 Business Central entity.

Points to note

  • The Record ID field is mandatory. Specify the GUID of the Business Central record you want to update.

  • Map values only to the fields you want to update. Unmapped fields remain unchanged.

  • To update a record in a related entity, select the corresponding entity in a separate Update record action.

InfoSome fields require the GUID of a related record, such as Currency ID, Payment Terms ID, or Payment Method ID. Use the Fetch record action to retrieve the required GUID.

Fetch record

Use this action to retrieve records from a selected Microsoft Dynamics 365 Business Central entity.

Points to note

  • Use the Fetch by field action to determine how records are retrieved:

    • Select Record ID if you know the GUID of the record.

    • Select Filter query to retrieve records that match a filter expression. For example, email eq 'frank@zylker.com'.

InfoBy default, Zoho Flow returns up to 10 matching records when a filter query returns multiple results. You can increase this limit to a maximum of 50 using the Maximum records field.
