The Zoho Sign field allows you to collect legally binding signatures directly within your form. Unlike the Zoho Sign integration, this field uses documents created in Zoho Forms to map fields and capture signatures within the form itself.
Imagine you are a property manager who needs to collect signed rental agreements from tenants. Instead of creating a document in a separate application, sharing it via email, and waiting for a signature, the Zoho Sign Field lets you use the document created in Zoho Forms, capture legally binding signatures, and finalize everything without leaving the form.
Prerequisites:
- Zoho Forms subscription - Basic plan and above with PDF credits.
- Zoho Sign subscription - Enterprise or Zoho One plan
Before adding the Zoho Sign field, create a form to collect the recipient's details.
- Drag and drop the Name and Email fields into your form.
- Add any additional fields whose values you want to appear in the signed document, such as Property Address, Lease Term, or Rent Amount.
Note: The recipient's Name and Email are required to configure the Zoho Sign field. The following field types are supported for mapping the Name: Name, Single Line, Dropdown, and Radio.
Document Creation and Field Mapping
Create or choose your agreement or contract document using the Zoho Forms
PDF Editor. 
- Drag and drop the necessary form fields like Name, Email, Date into the document template.
- This ensures that when a recipient fills out the form, their specific details are automatically reflected into the document.

- Once your document is ready and published, return to the Zoho Sign field configuration to select it under PDF Template.
Configuring the Zoho Sign Field
Once your document is ready,
- Drag and drop the Zoho Sign field into your form.
In the field creation pop-up, map the form fields that capture the recipient's Name and Email to the respective mapping fields.
- Set both mapping fields as Mandatory.
- Under PDF Template, select the specific template you want the recipient to sign.
- Click Save.
Note:
- The recipient's Name and Email are required to configure the Zoho Sign field. The following field types are supported for mapping the Name: Name, Single Line, Dropdown, and Radio.
- The Record Summary template under Default Templates, displays form fields and their values. Selecting this template will also consume PDF credit for each document generated.
Field Properties
Field Label: Enter a desired name for the field.
Field Mapping: Edit your mapped Name and Email fields here if needed.
Allow Signing on Embedded Forms: Enable this if you plan to embed the form on an external website and collect signatures from there.
- Once enabled, click Add Domain button. The Add Domain pop-up will appear.
- Enter your domain name and click Done.
- To authorize multiple sites, click + Add Domain in the top-right corner.
File Name: The name assigned here will be the file name for the signature image when pushed to other applications.
Once the form is shared:
- The respondents will enter their details, such as name, email and other necessary details and submits the form.
- A document is automatically generated where the form values are mapped directly into the template.
- The respondent can read to ensure the details in the document and finalize it to create a legally binding document.
- The form owner can view the documents and their status by clicking the View Status in Zoho Sign field Status. This redirects them to their Zoho Sign account where they can view the document.
Now, let’s look at how this works in real time using a Rental Agreement scenario.
Form Creation: The property manager creates a Tenant Application Form to collect essential details such as Name, Email, and Current Address.
Template Design: Next, the manager creates a Rental Agreement template in the Zoho Forms PDF Editor. They insert field labels into the template so that the tenant's responses like name and email are automatically mapped into the correct positions within the agreement.
Zoho Sign Field: The manager adds a Zoho Sign field to the form. In the field creation, they map the Tenant Name and Email Address form fields to the Zoho Sign configuration.
Real-Time Generation & Signing: When a tenant submits the form, the tenant’s details are instantly merged into the agreement. They can then review and finalize the document on the spot and a legally binding document will be generated.

Note:
- PDF credit is consumed for each document generated.
- Zoho Sign field cannot be added if a Zoho Sign integration is already configured for the form, and vice versa.
- Zoho Sign field cannot be added if a Payment field is present in the form, and vice versa.
- Zoho Sign field cannot be added if Double Opt-in is enabled for the form, and vice versa.
- Zoho Sign field cannot be added if Form Approvals is configured for the form, and vice versa.
- Zoho Sign field cannot be added if the Response Edit option is configured for the form, and vice versa.
- Only one Zoho Sign field is allowed per form.
- Zoho Sign field cannot be added if Auto Trash is configured for the form, and vice versa.
- Zoho Sign field requires at least one valid Zoho Sign organization linked to your account.
