Form Availability

Overview

Setting up form availability allows you to control when a form is accessible to users.  Here are some real-time scenarios where setting up form availability can help you:
  1. You're organizing an event with limited seats, and you want to ensure that once the maximum number of registrations is reached, the form is no longer accessible. By setting up form availability, you can automatically close the registration once the event reaches capacity.
  2. If you're running a limited-time sale on your e-commerce website and you want to collect orders only during the sale period. Setting up form availability allows you to automate the closing of the order form precisely when the sale starts and ends.
  3. You have a special promotion during a holiday season. By configuring form availability, you can automate when customers can access the form to take advantage of the offer.
Under Form Availability, you can choose from the following options:

Always

This option lets your respondents access the form and submit entries at any time without any date or time restrictions. However, you can set certain additional restrictions on your form's availability. Provide a custom message to be displayed when respondents access your form's link after expiration.

This option lets your respondents access the form and submit entries only for the specified date range. You can also set certain additional restrictions on your form's availability within the selected date range. Provide a custom message to be displayed when respondents access your form's link after expiration.

This option lets your respondents access the form and submit entries only for the specified date and time range. You can also set certain additional restrictions on your form's availability within the selected date and time range. To set additional restrictions on your form's accessibility, choose from the following options: 

Daily Submission Limit  

If you wish to limit the form entries collected per day, select this option and enter the submission limit.
For example, if you enter the submission limit as 100, your form will only be accessible to respondents for the first 100 entries every day.

Date Range (recurs every month)

If you wish to receive form entries only for a specified date range every month, select this option and enter the range.

For example, if you enter the range from 1 to 7, your form will only be accessible to respondents from the 1st to the 7th of every calendar month.

Specific Days   

If you wish to receive form entries on specific days of a week, select this option and choose the days of a week on which your form can be accessed.
For example, if you select Mon, Tue, Wed, Thu, and Fri, your form will only be accessible to respondents on these days and not on Saturdays and Sundays.

To configure specific time-based access for your form, choose from one of the following options:

By Range

If you wish to receive form entries only within a specific time range, select this option and enter the respective start and end times. Multiple time ranges can also be configured by clicking the plus button.
For example, if you enter 09:00 AM as the start time and 05:00 PM as the end time, the form will only be accessible to respondents between 09:00 AM and 05:00 PM every day.

If you wish to limit the form entries collected within a specific time range, select this option and enter the desired submission limits. Multiple time ranges, each with its own submission limit, can be configured by clicking the plus button.
For example, if you enter 09:00 AM as the start time, 05:00 PM as the end time & the submission limit as 100, your form will only be accessible to respondents for the first 100 entries within this time range.

Notes:  
  1. The option to set additional restrictions is available only in our paid plans.
  2. The overall count of form submissions within a day or time range will be tracked for form blocking based on the set Submission Limits. Once the overall count exceeds the submission limit, the form will become unavailable.
  3. If any time range is modified, the past count of form submissions within that range will be reset to zero. Only future submissions will be included in the overall count.
  4. If the timezone is modified, all Submission Limits (both daily and time-range based) will be adjusted according to the updated timezone. The past count of form submissions within that period will be reset to zero, and only future submissions will be included in the overall count.
  5. If a Submission Limit (daily or time-range based) is modified, past submissions will be included in the overall count and will not be reset.
  6. Once the daily or time-range submission limit is reached, new form submissions will not be allowed, even if the previous entries are deleted within that period.
  7. For mobile offline submissions, records will sync when the device is online. All restrictions configured in Form Availability settings will be validated based on the sync time, not the time of offline submission. 
  8. Set Additional Restrictions option will not be visible in Mobile apps. It can only be viewed and configured when accessed from web browsers.

Restrict By Submission

With this option, you can limit the number of form entries you receive and restrict multiple form entries from the same respondent or the same IP. Once the entry limit is reached, the form's link will be disabled.
To do this:
  1. In your form builder, navigate to the Settings tab > General Form Availability.
  2. Under Restrict by Submission, you can choose from the following options:

  • Restrict Number of Submissions Select the checkbox to obtain only a certain number of entries through your form. You can restrict your users from accessing your form by setting the maximum number of entries it can accept. Enter the maximum number of entries allowed and a deactivation message that will be displayed to the respondents once the limit is reached.
  • Restrict to One submission per IP : Select the checkbox to ensure that you do not get multiple responses from the same system (IP address).  When a user accesses your form a second time from the same public IP address, the form does not load.
  • Restrict to One Submission per Respondent : Select the checkbox to obtain only a single form submission from your respondents. This option only works within your Zoho Forms organization when logged -in users submit entries via privately shared forms
Note:  Once the Maximum submission limit is reached, new form submissions will not be allowed by default. However, deleting previous entries will allow new submissions.
