Overview
With the Zoho Forms - Zoho Flow integration, you can create actions to trigger automated workflows in your chosen apps on form submission. This integration lets you integrate your form submissions with various tools your business uses, helping you open up a world of possibilities for automated workflows.
You will have the flexibility to design workflows that align with your specific business needs, ensuring that the automation serves your unique processes and requirements.
This integration basically requires a trigger and an action to automate a workflow. In this integration, form submission is our trigger. This means that once someone submits the form, it will initiate the automation. We need to configure an action to be performed when a form is submitted, such as sending an email or adding a record to a sheet.
How to integrate your form with Zoho Flow?
In order to integrate forms in your Zoho Forms account with Zoho Flow, the Admin of your Zoho Forms organization needs to enable the Zoho Flow Integration in the Control Panel. To do this,
- Login to your Zoho Forms account as the Admin.
- Click the icon in the top-right corner to access the Control Panel.
- Click Zoho Flow Integration under Developer Space.
- Enable the Zoho Flow Integration.
Once enabled, individual forms in your Zoho Forms account can now be integrated with Zoho Flow.
To integrate a form with Zoho Flow,
- Navigate to the Integrations tab and click Zoho Flow from the left menu.
- Click Integrate.
- Choose an app that you wish to integrate your form with from the list and click Next.
- Choosing an action:
The next step will be to choose an action. An Action is a task that executes in response to a specific trigger, which is form submission in this integration. This step allows you to define what specific task or operation should be carried out within the chosen app when a form is submitted. For example, if Calendly is your chosen application, a list of actions that can be performed upon form submission will be displayed, from which, you can choose an action that aligns with your integration objectives.
Choose an action associated with the chosen service and click Next.
- Creating or choosing a connection:
The next step will be to create a new connection or choose an existing connection. A Connection refers to an app account that Zoho Flow has been authorized to interact with and exchange data. Zoho Flow takes care of the authentication process to ensure secure data exchange between apps. You may be required to follow specific steps or provide credentials based on the authentication requirements of the chosen app.
Creating a new connection:
When you are setting up a workflow with an application that you haven't connected to Zoho Flow before, you'll need to create a new connection for that specific app.
If you choose to create a new connection, enter the name of the Connection. This name is essentially a label that helps you identify and manage different connections in your Zoho Flow account.
Authorize the connection to continue. Once you create a connection, it can be used for various other flows in your organization. Note that different apps have different authentication methods.
Choosing an existing connection:
Alternatively, if you have any previously created connections for the selected app, you can choose to reuse them.
If you choose to use an existing connection, select the connection you wish to use from the dropdown list. All the connections you have established associated with the selected service in your Zoho Flow account will be listed, making it easy to select and apply the appropriate connection for your current workflow.
Zoho Flow may prompt you to re-authorize a connection during the workflow setup, if you are using an existing connection to trigger a different action.
- Enter data in the fields that appear. You can map the field responses of the form from the right pane into the action fields.
- Click Done. You will see the list of workflows configured where you can rename the action by hovering over the action and clicking the icon.
- If you wish to integrate your form with more applications using Zoho Flow, click + New Action in the top-right corner.
You can add upto 5 actions for a form in this integration.
