Volunteer Onboarding Use Case - Conditional Redirection and Dynamic Prefill
Zylker Community Center, a non-profit organization, aimed to onboard passionate individuals for various programs and initiatives. To streamline the volunteer registration process and capture specific skills effectively, they used dynamic forms with conditional redirection. For example, if a volunteer expresses interest in teaching, they would be redirected to a separate form to collect their educational details. Lets see how Zylker Community Center achieved this.
Form building
Zylker created a Volunteer Registration Form to collect essential information such as volunteers' names, contact details, availability to support the NGO's mission, and a list of areas where they're interested in contributing, like event support, office administration, community outreach, teaching, fundraising, and mentoring.
Based on their interests, volunteers would then be conditionally redirected to another form to provide more specific details.

Rule creation
After building the form, Zylker navigated to the Rules tab in Zoho Forms and configured a Form Rule. Here's how they set up specific redirection logic for individuals interested in teaching:
Rule 1: Redirect to the Educational Qualification & Skills Form for the Teaching interest
Condition: If Area of Interest contains Teaching
Action:
- Choose Redirect To.
- In the Messages & Redirect pop-up, navigate to the Redirection tab.
- Select Another Form under Redirect Page To and choose Educational Qualification & Skills Form.
- Click Done and save the rule.
How this works
When a potential volunteer accesses and fills out the Zylker's Community Center Volunteer Registration Form:
- If Teaching is selected as their Area of Interest, then upon submission, the rule automatically redirects them to the Educational Qualification & Skills Form.
- The subsequent form then prompts the user for specific educational background, certifications, and their expertise level in certain subjects.
By implementing this dynamic form rule, Zylker Community Center gathers educational information only when necessary and avoids unnecessary steps for general volunteers. This ensures that individuals interested in teaching roles are assessed more effectively to best serve the community, while others can complete a standard registration form.
Prefilling basic information
To streamline volunteer registration further, Zylker prefilled the basic information into the redirected form. To do this, they configured Field Alias in the Educational Qualification & Skills Form.
Setting up field alias
- In the Educational Qualification & Skills Form, navigate to Settings.
- Select Prefill and then Field Alias - Prefill URL.
- Click Configure Now.
- Choose the field labels you want to prefill (e.g., First Name, Last Name, Email)
- Assign a unique alias name to each selected field and click Save.
Configuring the redirection rule for prefill
- In the Volunteer Registration Form, edit the configured rule for redirection.
- Under Redirection Page, enable Prefill values in redirected form.
- Map the configured field alias names from the Educational Qualification & Skills Form to the corresponding fields in the Volunteer Registration Form to pass responses.
This setup ensures that basic information like first name, last name, and email is automatically passed from the Volunteer Registration Form to the Educational Qualification & Skills Form, providing a seamless experience for volunteers.
