Can I import and export notes in Zoho FSM?

Yes, you can import and export notes in Zoho FSM.

Below are the details and limits.

Importing Notes:
You can import notes into the following modules:
  1. Contacts
  2. Companies
  3. Services and Parts
  4. Assets
Info
The import file must contain a column with a unique identifier (e.g., Contact ID or Name) to correctly link notes to the respective records.
Steps to Import Notes:
  1. Navigate to the desired module and click Import Data.



  2. Under the Notes section, upload your CSV file.



  3. Select the appropriate character set for parsing.
     


  4. Map the columns in your CSV to FSM fields using:
    1. Auto Mapping (default)
    2. Manual Mapping via drop-down



  5. Optional settings:
    1. Reset Field Mapping to start over
    2. Replace Empty Values to set default values for blank fields
  6. For Parent ID, choose the appropriate field to link the note to the correct record.
  7. Click Import to begin.
  8. After completion,
    1. An in-app message and email will notify you
    2. The email will include a report of any errors (if applicable)


Exporting Notes:
You can export notes using the Data Export feature in Zoho FSM.

WarningLimits:
  1. Up to 10,000 records from a module can be exported at once
  2. A maximum of 5,000 notes can be exported per operation
  3. Only 3 exports can run simultaneously
Steps to Export Notes:
  1. Go to Setup > Data Administration > Data Export.
  2. Choose:
    1. Module to export
    2. Related Module: Notes
    3. Include PII (Optional)
    4. Recipient email address
  3. Click Export.
  4. If password protection is enabled, enter a password for the file.
